People Associate

Summary

Supports end-to-end HR operations including recruitment, onboarding, administration, and employee engagement for a fast-growing AI security company in Cochin.

Role purpose:

Prevalent AI is a fast-scaling, AI-first security company with a small, ambitious People team that operates across multiple geographies. As our team members take on increasingly strategic responsibilities, we are creating a new role to provide the operational support that makes this possible.

The People Associate is a foundational role within the People team, designed to absorb the high-volume, time-critical operational and coordination work that currently sits across the team — creating the space for our People Business Partner, Administration, Talent Acquisition and People leadership roles to focus on strategic and higher-impact contributions.

This role is deliberately broad. You will work directly alongside every member of the People team — supporting Talent Acquisition, People administration and onboarding coordination, Learning & Development logistics and communications execution on behalf of the team. This cross-team design is intentional: we are building a People function where collaboration is the norm, not the exception, and this role sits at the center of that.

This is an excellent entry point for an early-career HR professional who wants to learn the full breadth of a People function quickly, alongside experienced colleagues who are invested in their development. Strong performance at L2 will lead to a structured and supported progression to L3 within a clear timeline.

Key accountabilities:

Talent Acquisition Support

  • Support the end-to-end recruitment process for India and global roles — scheduling interviews, coordinating with candidates and hiring managers, managing communications and maintaining tracking records in BambooHR.
  • Assist with job postings across platforms, ensuring accuracy and consistency in employer branding, Co-ordinate Background Verifications and Pre-employment checks across geographies and support offer administration.
  • As the business grows globally, take increasing responsibility for coordination of international TA activity, ensuring a consistent candidate experience across all locations.

People Administration & Onboarding Support

  • Support the onboarding process for new joiners in India — organizing induction schedules, tracking system access requests and ensuring all pre-boarding activities are completed on time.
  • Maintain accurate and up-to-date employee records in BambooHR, including new starter data, role changes, contract updates and offboarding entries
  • Assist with the administration of core people processes - probation reviews, contract renewals, leave management and policy acknowledgements.
  • Assist with resource management administration, including maintaining team allocation trackers and flagging changes or conflicts for the manager review.
  • Support audit and compliance documentation – ISO, SOC2

Celebrations, Events and Cultural Initiatives

  • Support the People team in the planning and conduct of employee celebrations, cultural events and engagement initiatives including annual all-hands meetings, Rewards & Recognition events, team events and Shared Value Fund activities.
  • Coordinate logistics for People team events — venue bookings, communications, participant tracking, materials preparation and post-event follow-up.

Learning & Development Coordination

  • Coordinate the logistics of L&D programs — scheduling sessions, managing participant communications, tracking attendance and maintaining completion records in BambooHR.
  • Support the rollout of the Competency Framework and Capability Matrix — tracking completion and maintaining records of assessments and outcomes.
  • Prepare L&D activity reports for the People Director, capturing participation rates, feedback and program outcomes.

Internal Communications Execution

  • Create and publish all People team communications including — working from briefs and guidance provided by the People Director or relevant team members.
  • Ensure all outgoing communications are consistent in tone, format and quality, reflecting PAI's Authentic, Focused and Inquisitive values.
  • Support the coordination of communications for engagement events and cultural initiatives, gathering inputs from across the People team and ensuring timely, accurate distribution.

Career path:

This role is designed with progression in mind. At L2, the focus is on building a strong operational foundation — consistent delivery, proactive communication and the ability to support multiple workstreams reliably.

Progression to L3 (Senior) will be considered within 18-24 months for team members who demonstrate independent delivery, visible collaboration across the People team, growing contribution beyond administration, and a clear understanding of the business context behind the work. The People Director will provide structured development support from day one, and the Administration Manager and People Business Partner will be a key day-to-day guide for the People administration and onboarding areas of the role.

  • Relevant experience in Human Resources/People operations, recruitment coordination and/or administrative role.
  • An interest in building a broad HR career — this role spans TA, People operations, L&D, events, communications, and suits someone who wants to learn the full picture before specializing.
  • Organized and dependable, with strong attention to detail and the ability to manage multiple tasks and stakeholders without losing track of commitments.
  • A natural collaborator — you share updates proactively, ask questions before making assumptions, and look for ways to support colleagues rather than working in isolation.
  • Clear written communicator in English, able to draft professional communications for different audiences.
  • Energized by a fast-paced, high-growth environment where priorities shift and every week is different.
  • Comfortable learning new systems quickly; experience with BambooHR or a similar HRIS is an advantage, as is familiarity with Microsoft 365.
  • Curious about how AI tools can improve the quality and speed of People work — we use tools such as Claude and Copilot actively across the team.



Education:

  • Bachelor's Degree in any stream. A degree in Human Resources Management, Business Administration, Psychology or a related field is preferred.
