Personal Assistant
Job Scope
- Provide high-level administrative and personal support to the Director/Management.
- Manage calendars, appointments, meetings and daily schedules, ensuring priorities are well coordinated.
- Coordinate meetings, prepare agendas, take minutes and follow up on action items.
- Handle confidential documents, correspondence and information with a high level of discretion.
- Manage business and personal appointments, reservations, travel arrangements and other ad-hoc arrangements when required.
- Coordinate with internal teams, suppliers, clients, business partners and external parties on behalf of Management.
- Prepare presentations, reports, proposals, documents and business correspondence.
- Monitor deadlines, follow up on outstanding matters and ensure tasks are completed on time.
- Assist Management with business operations, events, projects and special assignments.
- Conduct research, gather information and prepare summaries to support Management’s decision-making.
- Assist with administrative coordination across HR, Finance, Operations, Marketing and other departments where required.
- Maintain proper filing, records and documentation.
- Handle ad-hoc tasks and projects as assigned by Management.
Requirements
- Minimum 3 years of experience as a Personal Assistant, Executive Assistant or similar role.
- Strong organisational and time-management skills with excellent attention to detail.
- Mature, professional and highly trustworthy, with the ability to handle confidential matters.
- Excellent communication and interpersonal skills.
- Able to work independently, prioritise multiple tasks and meet tight deadlines.
- Proactive, resourceful and strong in follow-up.
- Good command of written and spoken English.
- Proficient in Microsoft Office / Google Workspace.
- F&B,retail, hospitality, lifestyle or business operations experience is an advantage.
- Flexible and comfortable supporting Management in a fast-paced environment.
