Personal Assistant cum Admin Executive
Job Summary
Support the Managing Director by managing schedules, travel, and confidential information while providing comprehensive administrative and operational assistance to ensure smooth office and staff management.
Responsibilities
- Manage and coordinate the Managing Director’s calendar and appointments to optimize time and priorities
- Arrange travel logistics including flight bookings and hotel accommodations to ensure seamless trips
- Handle sensitive information with discretion to maintain confidentiality and trust
- Support personal matters of the Managing Director as needed
- Reconcile credit card statements accurately for financial accountability
- Organize and maintain personal files, documents, and records for efficient retrieval
- Process staff expenses claims and payments to ensure timely reimbursement
- Maintain staff leave records and related documentation for compliance and tracking
- Manage renewal of staff and company annual insurance policies to maintain coverage
- Keep accurate records of project costing to support budgeting and reporting
- Liaise with vendors for office supplies and equipment maintenance to ensure operational readiness
- Provide Office and IT support to maintain workplace functionality
- Perform other ad-hoc tasks assigned to support business needs
Preferred competencies and qualifications
- Local Polytechnic Diploma
- Minimum 5 years of related work experience
