Job Title: Personal Assistant to Operations Director

Location: Remote

Employment Type: Full time

Role Overview

We are looking for a highly organised, dependable and proactive Personal Assistant to provide personal and family administrative support to an Operations Director.

This is not a traditional Executive Assistant or business-support position. The primary purpose of the role is to take ownership of day-to-day personal administration, household scheduling and family logistics, helping ensure that commitments are well organised, communicated and followed through.

The ideal person will be trustworthy, discreet and exceptionally organised, with the confidence to manage multiple diaries, appointments and practical arrangements independently.

Key Responsibilities

Family & Diary Coordination

  • Coordinate personal and family diaries, appointments and commitments.

  • Arrange meetings and appointments relating to children, including school meetings, activities, clubs and other commitments.

  • Keep track of school dates, events, parents’ evenings, performances, sports fixtures and other important activities.

  • Coordinate schedules between family members to ensure everyone knows where they need to be and when.

  • Provide timely reminders and follow-ups for upcoming appointments, deadlines and events.

  • Identify diary clashes in advance and help resolve them.

Personal Administration

  • Manage personal appointments and general life administration.

  • Make bookings and reservations as required.

  • Keep track of important personal deadlines, renewals and recurring commitments.

  • Liaise with schools, clubs, healthcare providers, household suppliers and other external organisations where required.

  • Research options, obtain quotes and organise appointments or services.

  • Maintain organised records of key personal information and arrangements.

Household & Family Logistics

  • Coordinate vehicle-related administration including servicing, MOTs, repairs, insurance renewals and appointments.

  • Arrange veterinary appointments, vaccinations and other pet-related requirements.

  • Coordinate household appointments, maintenance visits and service providers when required.

  • Assist with organising family travel, activities and other personal arrangements.

  • Follow up with suppliers and service providers to ensure agreed actions are completed.

About You

You will ideally be:

  • Exceptionally organised with strong attention to detail.

  • Proactive and able to anticipate what needs to happen next.

  • Comfortable managing multiple calendars and competing priorities.

  • Reliable and able to follow tasks through without needing frequent reminders.

  • Confident communicating with schools, suppliers, service providers and other third parties.

  • Comfortable researching options and making practical recommendations.

  • Calm and adaptable when plans change at short notice.

  • Highly discreet and respectful of personal and family confidentiality.

  • Comfortable working independently and using good judgement.

  • Tech-savvy and confident using calendars, email, messaging and everyday productivity tools.

Essential Experience

  • Previous experience in a Personal Assistant, Family PA, Household PA, Executive Assistant or highly organised administrative role.

  • Strong diary and appointment-management experience.

  • Excellent written and verbal communication skills.

  • Demonstrable experience managing multiple priorities.

  • Strong organisational and follow-through skills.

Desirable Experience

  • Previous experience supporting a busy family or senior professional with personal administration.

  • Experience coordinating children’s schedules, school commitments or family logistics.

  • Experience managing household suppliers, vehicles, appointments or similar personal administration.

What Success Looks Like

The successful Personal Assistant will create order, visibility and peace of mind around the family’s day-to-day commitments.

Appointments are remembered, diaries remain coordinated, family members know where they need to be, important events aren’t missed, and practical tasks—from the car service to the vet appointment—are handled proactively and followed through to completion.

The role should ultimately reduce the mental load of running a busy personal and family life so the Operations Director can focus their attention where it is most needed.
