(PH/SA) Operations Assistant

This is a remote position.

The Operations Assistant is a key enabler of organizational efficiency, playing a pivotal role in supporting seamless day-to-day operations within a fast-paced, dynamic environment. Reporting to the Operations Manager or designated department head, this position ensures operational workflows run smoothly by managing administrative functions, maintaining accurate records, and facilitating cross-departmental communication. The ideal candidate is highly organized, proactive, and committed to continuous improvement, with a strong focus on process optimization and compliance. By serving as a central point of coordination, the Operations Assistant helps drive operational excellence, supports strategic initiatives, and contributes to scalable growth through reliable execution and attention to detail.
Responsibilities:
  • Coordinate and support daily operational activities across departments to ensure consistent workflow execution.
  • Maintain and update operational records, databases, and documentation with accuracy and consistency.
  • Assist in the preparation of reports, dashboards, and presentations for management review and decision-making.
  • Manage correspondence, schedules, and meeting logistics for operational teams and senior leadership.
  • Facilitate interdepartmental communication by distributing information, tracking action items, and ensuring timely follow-ups.
  • Support procurement and inventory management tasks, including vendor coordination and order tracking.
  • Identify process inefficiencies and recommend actionable improvements to enhance productivity and effectiveness.
  • Assist in onboarding new team members and maintain up-to-date onboarding documentation.
  • Ensure adherence to internal policies, procedures, and regulatory standards.
  • Collaborate with cross-functional teams to support project timelines and achieve operational objectives.

Requirements

  • 1–3 years of experience in operations, administrative support, or a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with CRM or ERP systems is highly preferred.
  • Strong organizational and time management skills, with the ability to prioritize tasks in a fast-paced environment.
  • Excellent written and verbal communication skills, with meticulous attention to detail.
  • Ability to work independently and collaboratively within a team-oriented culture.
  • Basic understanding of business processes, workflow management, and operational metrics.
  • High school diploma or equivalent; associate’s or bachelor’s degree in Business Administration, Management, or a related field is a plus.
  • Familiarity with document management, data entry, and best practices for record-keeping.
Salary: $10 per hour
