The Phase III Administrator will assist in the day-to-day delivery of the Phase 3 curriculum. The Phase 3 administrator will collaborate with the Director, OME, the Association Dean of Medical Education, the Vice Dean for the Medical Education Continuum, and the Associate Dean of Research and Graduate Studies as well as the Phase 3 coordinator to assist in the review and monitoring of student placements and outcomes of the Year 4 Programs.
Responsibilities
A day in the life of a Phase III Administrator at Hackensack Meridian Health includes:
- Support the Phase 3 Program by monitoring and tracking rotation, electives, and providing support to course directors, faculty, staff, and students with needs related to curriculum delivery, including communication, distribution of curricular materials, and interfacing with the School of Medicine`s Learning and Curricular Management systems.
- Provide administrative support for the Phase 3 curriculum as well as the Phase 3 coordinator.
- Responsible for implementation and continuous improvement of the Phase 3 curriculum and clinical activities.
- Coordinatethe review and discussion of Year 4 clinical activities.
- Responsible for ensuring implementation, adherence, monitoring, and continuous improvement of all policies and procedures related to Phase 3, including those regarding safety and operations.
- Attend and assist meetings on a regular basis with Phase 3 Operational Leads (Vice Dean, Acad Affairs, Vice Dean Med Ed Continuum, Vice Dean, and Research) address needs and create plans.
- Participate in SOM related activities, including supporting curriculum operations and other committees, participating in the SOM`s Curriculum Management Plan, and participation in accreditation-related activities.
- Creation of a variety of reports and records for rotation/elective directors, SOM leadership, and curricular committees.
- Interface and collaborate with the Office of Student Affairs and Well-being related to Phase 3 programming including related to student advising and student Individualized Learning Plans (ILP)
- Coordinate scheduling special events as related to the Phase 3 curriculum and create and maintain various electronic data systems for the Phase 3 courses.
- Collaborate with the Office of Faculty in identifying, clearing and maintaining faculty as leads and members of elective courses across Phase 3.
- Create and maintain the Phase 3 elective guide including updating faculty, blackout dates and syllabus for each elective course.
- Create and maintain relationships with outside institutions as related to secondary degree programs including creation of invoice systems, collection of transcripts and enrollment status for students.
- Performs a wide variety of administrative duties to ensure all constituents and stakeholders receive resolution.
- Communicates and handles incoming and outgoing electronic communications on behalf of the SOM.
- Other duties and/or projects as assigned.

Qualifications
Education, Knowledge, Skills and Abilities Required:
- Associate's degree in Education, Public Health, Healthcare Administration or related.
- Minimum of 2 years of relevant work experience.
- Experience in relevant areas such as operations and/or curriculum.
- Microsoft Office suite skills essential.
- Demonstrated flexibility in establishing new programs from the ground up or other endeavor requiring adaptability.
- Familiarity with learning management and student assessment systems.
- Proficient with database management software and creating reports.
- Effective interpersonal, organizational and planning, team-building, and problem-solving skills.
- Excellent communication, administration, and organizational skills.
- Vision oriented self-starter with a big picture growth mindset.
