Role Summary

As a Pick up-Exchange Coordinator, you ensure durable medical equipment (DME) pickup and exchange work orders are accurate, complete, and ready for the delivery team—supporting timely retrievals, replacements, and clear equipment accountability.

Key responsibilities include:
- Create, review, and update pickup/exchange orders; verify required documentation and details
- Coordinate with Customer Service, Billing, Warehouse, and Delivery to resolve order issues quickly
- Track equipment status and maintain accurate inventory/accountability records
- Provide responsive internal support while protecting patient information (HIPAA)
- Identify process gaps and suggest practical workflow improvements

Required qualifications/skills:
- Experience in DME, healthcare operations, medical billing, customer service, or logistics (preferred)
- Familiarity with DME equipment and rental processes (preferred)
- Strong organization, prioritization, and documentation accuracy
- Proficiency with Microsoft Office; EMR/DME software experience a plus

A Typical Workday

Your day is spent remotely managing a steady flow of pickup and exchange activity, moving between order queues, internal messages, and system updates. You’ll start by checking priority items for the day’s routes, then spend focused blocks validating details, confirming statuses, and documenting changes so downstream teams have clear, current information. Throughout the day, you’ll field time-sensitive questions from partner departments, keep notes organized, and close out updates as they’re resolved. You’ll finish by reconciling outstanding items, flagging anything that could delay service, and leaving clean handoffs for the next business day—maintaining consistent, audit-ready records in a fast-paced DME pickup and exchange environment.
