Pilot Training Coordinator - Managed Fleet
The Training Coordinator - Managed Aircraft Fleet supports the training programs for the company’s aircraft management managed fleet. This role helps ensure pilots, maintenance personnel, operational support teams, and other applicable team members complete required training in a timely, organized, and compliant manner. The Training Coordinator serves as a key point of contact between internal stakeholders, external training providers, vendors, and leadership to support safe, efficient, and consistent flight operations.
Key Responsibilities
- Coordinate and maintain training schedules for flight crew, maintenance personnel, and operational support staff assigned to the managed fleet.
- Track required training, recurrent training, qualifications, certificates, due dates, and completion status to support regulatory and company compliance.
- Work with internal leaders, instructors, training vendors, and aircraft-specific training providers to schedule courses, simulator events, ground school, onboarding activities, and other required training.
- Maintain accurate training records, attendance documentation, completion certificates, rosters, and related compliance files in the appropriate systems.
- Monitor upcoming expirations and proactively communicate reminders, risks, and scheduling needs to employees, managers, and leadership.
- Support onboarding for new hires by coordinating required initial training, system access, training materials, and completion tracking.
- Assist with the preparation, distribution, and maintenance of training materials, manuals, presentations, checklists, and learning resources.
- Prepare reports on training status, completion rates, outstanding requirements, and upcoming training needs for leadership review.
- Coordinate training logistics, including vendor communication, enrollment, travel-related coordination, training locations, equipment needs, and calendar updates.
- Help identify process improvements that increase training efficiency, record accuracy, learner engagement, and operational readiness.
- Maintain awareness of applicable aviation training requirements, company policies, safety standards, and managed fleet operating needs.
- Provide administrative support for audits, inspections, internal reviews, and compliance checks related to training documentation.
