Port Operations Executive (0036 Apr 2025)
Job Purpose:
The Operations Executive is responsible for coordinating and executing all port call-related activities for vessels under the company’s agency, ensuring efficient turnaround, compliance with regulations, and a high level of service to principals, shipowners, and charterers.
Key Responsibilities:
Port Call Coordination
- Arrange and coordinate vessel arrivals and departures, including berth booking, pilotage, towage, and port documentation.
- Liaise with port authorities, terminal operators, customs, and immigration on behalf of the vessel.
- Ensure smooth communication with shipmasters and clients during port calls.
Operational Support
- Arrange for crew change, bunkering, fresh water, provisions, and other husbandry services.
- Ensure that services are delivered timely and cost-effectively.
- Respond to any operational issues, emergencies, or delays and provide updates to stakeholders.
Documentation & Reporting
- Prepare and submit required shipping documentation (arrival/departure reports, cargo manifests, statements of facts, etc.).
- Assist in the preparation of disbursement accounts (D/As) and monitor third-party service invoices.
- Maintain records of port activities and operational checklists.
Client & Stakeholder Communication
- Maintain good working relationships with shipowners, charterers, port officials, and service providers.
- Provide timely updates and reports to principals.
- Attend to vessel or principal inquiries with professionalism and urgency.
Compliance & Procedures
- Ensure all operations are carried out in line with company SOPs and relevant maritime regulations.
- Participate in internal audits or external inspections as needed.
Requirements
- ITE/ Diploma or Degree in Maritime Studies, Logistics, or equivalent
- 1–3 years of experience in a similar operations role preferred (fresh graduates may be considered)
- No experience is also open to apply if keen to learn
- Knowledge of port regulations, shipping documentation, and vessel operations
- Good communication and interpersonal skills
- Able to work under pressure, including on-call or shift hours when vessels call
- Proficient in Microsoft Office; familiarity with port or agency systems (e.g., Portnet, PSA, MPA) is a plus
- A valid driving license is preferred (for port/terminal visits)
