Working under the guidance of the Process Governance Lead, this role ensures operational documentation remains accurate, standardized, and accessible while coordinating workflow transitions, identifying process gaps, and escalating risks.

Key Responsibilities

01. Documentation Governance Support

  • Maintain documentation inventories, review schedules, ownership tracking, due dates, and pending actions.

  • Verify SOPs, WIs, and supporting materials are accessible, standardized, properly identified, and routed through formal governance channels.

  • Follow up on pending documentation reviews, approvals, updates, and maintain audit-ready evidence of decisions and process changes.

  • Identify and report missing, outdated, incomplete, orphaned, duplicated, or improperly stored documents to the Process Governance Lead.

  • Log and route process standardization opportunities through established governance pathways.

02. Governance Tracking & Reporting

  • Update governance, documentation, and SSC project trackers with current statuses, owners, deadlines, and pending deliverables to give leadership full status visibility.

  • Collaborate with QA to track insights and recommendations, converting findings into actionable tasks with assigned owners.

  • Maintain complete traceability and evidence for all completed activities, follow-ups, and project status updates.

  • Partner with leadership to highlight recurring operational gaps, bottlenecks, delays, or trends to the Process Governance Lead.

03. Workflow Readiness Support

  • Support workflow readiness reviews prior to operational transitions and process handoffs.

  • Track pending requirements, dependencies, and escalate unresolved transition risks promptly.

  • Maintain supporting evidence and real-time status updates for all readiness activities.

04. Coordination & Operations Support

  • Execute assigned governance activities within designated deadlines and quality standards.

  • Follow up with stakeholders across teams for information, approvals, and pending action items.

  • Maintain clear communication regarding delays, risks, or blockers using established escalation paths.

  • Perform hands-on operational tasks when required to support process continuity and uncover ground-level improvement opportunities.

  • Participate in scheduled meetings, respond professionally to stakeholder inquiries, and execute additional duties as assigned.

Key Requirements & Qualifications

  • Education: Bachelor’s degree in Industrial Engineering or a related technical/business field preferred.

  • Process & Governance Knowledge: Basic to solid understanding of process governance, documentation lifecycle management (SOPs, WIs, workflows), and operational procedures within an SSC or logistics environment.

  • Technical & Administrative Skills: Proficiency in technical writing, document control, project/tracker maintenance, and translating ground-level findings into process updates.

  • Organization & Detail: Exceptional organizational skills, high attention to detail, and proven ability to manage multiple tracking matrices and strict deadlines simultaneously.

  • Analytical & QA Mindset: Ability to identify missing information, process gaps, and inconsistencies, as well as interpret QA findings into actionable solutions.

  • Communication & Stakeholder Management: Effective written and verbal English skills to communicate professionally with cross-functional teams, provide clear updates, and follow established escalation routes.

  • Adaptability: Proactive, adaptable, and open to receiving feedback and applying corrective actions in a fast-paced setting.
