Procurement Manager, Operations

The Procurement Manager,Operations supports the day-to-day purchasing, supplier coordination, inventory, and procurement process execution for a fast-growing, multi-site operation. This role is for someone who is organized, detail-oriented, service-minded, and comfortable balancing follow-through with practical problem-solving.

What You’ll Do

Purchasing and Order Support

  • Support purchase order creation, order tracking, receiving follow-up, and documentation across approved vendors and spend categories.

  • Help locations and functional teams navigate purchasing processes, approved materials, and ordering expectations.

  • Monitor open orders, delayed shipments, backorders, and exceptions; communicate updates clearly and escalate when needed.

  • Maintain accurate purchasing records so orders, receipts, invoices, and vendor communications are easy to track.

Vendor and Supplier Coordination

  • Serve as a day-to-day point of contact for vendors on order status, pricing questions, delivery timing, documentation, and service issues.

  • Support vendor onboarding, information updates, compliance documentation, and approved supplier records.

  • Track recurring cost, quality, delivery and supplier performance issues and help identify patterns that need manager review or supplier follow-up.

  • Partner with the Sr. Manager, Procurement & Strategic Sourcing to support supplier performance routines and contract compliance.

Contract Negotiation & Vendor Management

  • Lead supplier selection, negotiations, and contract commitments.

  • Oversee company wide RFQ/RFP’s across operations based vendor spend

  • Drive cost-reduction initiatives and process improvements

  • Lead cross functional Quarterly Business meetings with top spend suppliers

Inventory and Materials Coordination

  • Support inventory tracking, replenishment routines, materials planning, and site-level supply visibility.

  • Help monitor stocking levels, usage trends, shortages, obsolete items, and reorder needs across locations.

  • Work with field and finance partners to support accurate receiving, inventory records, and issue resolution.

  • Help maintain approved item lists, product details, pricing information, and ordering guidance.

Process Execution and Field Support

  • Support the rollout and adoption of procurement tools, workflows, SOPs, job aids, and training materials.

  • Answer field questions, troubleshoot process issues, and help make ordering and receiving routines easier to follow.

  • Identify process gaps, recurring confusion, and opportunities to simplify the experience for location teams.

  • Partner with Operations, Finance, Accounting, IT, and other support teams to keep procurement work moving accurately and on time.

Reporting, Data, and Continuous Improvement

  • Maintain procurement trackers, reporting inputs, supplier data, item records, and purchase documentation.

  • Assist with reporting on purchasing activity, supplier performance, cost savings, inventory status, service levels, and open issues.

  • Use data and feedback to help identify where orders are delayed, processes are unclear, or vendors are not meeting expectations.

  • Bring forward risks, questions, and recommendations with enough context for leaders to act quickly.

What We’re Looking For

We are looking for someone who takes pride in the details because they understand those details affect the field. You are organized, responsive, curious, and willing to chase down answers without losing sight of the bigger operation.

  • 3-5 years of experience in procurement, purchasing, supply chain, inventory coordination, vendor management, finance operations, or related administrative support.

  • Strong attention to detail and ability to manage multiple open items, follow-ups, and deadlines at the same time.

  • Comfort working with purchase orders, invoices, vendor records, item lists, pricing information, and inventory data.

  • Clear communication skills with the ability to support field teams, vendors, and cross-functional partners.

  • Ability to identify issues, ask good questions, and escalate when a problem needs additional support.

  • Comfortable in Change Management environments, willing to challenge the status quo

  • Strong Excel, reporting, and systems skills; experience with NetSuite or similar procurement, ERP, or inventory systems preferred.

  • Experience in a multi-site retail, automotive services, manufacturing, industrial services, QSR, hospitality, or distributed operations environment preferred.

  • Bachelor’s degree in business, supply chain, operations, finance, or related field preferred.

Base Pay Range

$80,000.00 - $120,000.00
