Procurement Operations Assistant

We are seeking a detail-oriented and organised Procurement Operations Assistant to join our Procurement team.

In this role, you will support the day-to-day procurement operations of St Lukes ElderCare by ensuring timely processing of purchase requisitions and purchase orders, maintaining accurate procurement records, coordinating with internal stakeholders and suppliers, and supporting compliance with procurement policies and governance requirements.

Responsibilities

  • Process Purchase Requisitions (PR) and generate Purchase Orders (PO) accurately and within service level timelines.
  • Review procurement requests and supporting documents to ensure completeness and compliance with procurement procedures.
  • Monitor purchase order status, delivery timelines and invoice discrepancies, and follow up with suppliers or internal stakeholders as required.
  • Coordinate with requesting departments to clarify procurement needs, resolve queries and support timely order fulfilment.
  • Liaise with vendors on quotations, delivery schedules, order confirmations, invoices and related procurement matters.
  • Assist in sourcing quotations for low-value, ad-hoc purchases and assigned sourcing exercises in line with procurement policies.
  • Maintain supplier records, vendor information, procurement documentation and filing in accordance with audit requirements.
  • Prepare procurement reports, operational statistics and tracking updates for management review.
  • Support procurement compliance by ensuring activities adhere to organisational policies, financial controls and governance requirements, escalating issues promptly where needed.
  • Support procurement projects, process improvements, digital initiatives, system testing, data cleansing and other duties assigned by the Reporting Officer.

Requirements

  • Diploma, Higher NITEC or equivalent qualification in Business, Supply Chain, Procurement or a related discipline.
  • Fresh graduates are welcome; 1 to 2 years of procurement, purchasing or administrative experience will be an advantage.
  • Experience using ERP or procurement systems such as Microsoft Business Central or SAP is preferred.
  • Proficient in Microsoft Office, particularly Excel, with good organisational and time management skills.
  • Strong attention to detail and accuracy in processing documentation and procurement records.
  • Good communication and interpersonal skills, with a customer-oriented attitude and ability to work independently or as part of a team.
