About the role

We're looking for an organised, detail-focused person to look after our procurement and sales administration, help us win government work, and keep our internal policies, procedures and external certifications in great shape. You'll work closely with our Directors, sales team, Service Coordinator, technical staff, finance team and suppliers to keep orders, quotes, tenders and compliance running smoothly.

Key responsibilities

  • Prepare hardware, software and maintenance quotes, and turn approved quotes into orders

  • Raise purchase orders, track deliveries and follow up backorders with suppliers and distributors

  • Reconcile supplier invoices and sort out returns, RMAs and credits

  • Keep customers updated on their orders and manage the sales inbox

  • Maintain accurate customer, supplier, pricing and contract records in our CRM

  • Track maintenance, licence and subscription renewals and warranty registrations, and give finance what they need for accurate invoicing

  • Keep our tender library (capability statements, case studies, insurances, certificates) and panel registrations current

  • Look after our internal procedure and policy documentation, registers and records

  • Coordinate internal audits and maintain our audit calendar

  • Support staff with policy acknowledgements and induction records

About you

  • Experience in procurement, sales administration or order processing

  • Exceptional attention to detail and strong organisational skills

  • Comfortable juggling multiple priorities and working to fixed deadlines

  • Strong written communication, with an eye for proofreading and document presentation

  • Confident with Microsoft 365 (Word, Excel, Outlook, SharePoint and Teams) and business systems

  • Proactive, solutions-focused and happy to work independently

  • An understanding of the quote-to-invoice process

What's on offer

  • Full-time, permanent role – Monday to Friday

  • Friendly, supportive team in a growing Queensland business

  • On-the-job training and career development

  • Diverse, interesting work across sales, procurement and compliance
