Position Summary
The Procurement Specialist manages day-to-day purchasing, inventory, supplier coordination, and documentation while maintaining alignment with Catalis Dental Lab Partners procurement standards. The role helps ensure material availability, accurate inventory, cost control, and uninterrupted laboratory operations.
Key Responsibilities
· Manage the procurement of dental materials, supplies, equipment, and services through approved vendors and purchasing systems.
· Maintain inventory accuracy within Zimbis, including item setup, vendor information, pricing, stock levels, and inventory optimization.
· Monitor inventory availability, open orders, backorders, shortages, and substitutions to ensure uninterrupted production.
· Conduct month-end inventory counts, reconcile discrepancies, and submit accurate inventory reports.
· Oversee purchase order, invoice, packing slip, and receiving processes to ensure accuracy and timely payment processing.
· Build and maintain strong supplier relationships while monitoring pricing, delivery performance, product availability, and service levels.
· Track spending, identify cost-saving opportunities, report pricing or supply risks, and support approved product substitutions.
· Continuously improve purchasing, receiving, and inventory control processes while partnering with Operations, Production, Finance, Quality, and Procurement teams to achieve business objectives.
Qualifications & Requirements
· Experience in procurement, purchasing, inventory management, supply chain, or related operations.
· Preferred background in dental laboratory, healthcare, medical device, manufacturing, or similar environments.
· Knowledge of inventory, ERP, purchasing, or procurement systems; Zimbis experience is a plus.
· Strong communication, organization, problem-solving, and analytical skills.
· Proficiency with Microsoft Office, particularly Excel.
· Ability to work independently and collaborate effectively across departments.
· Understanding of inventory control, supplier management, process improvement, and cost-control practices.
· Bachelor's degree in Business, Operations, Supply Chain, Management, or equivalent experience preferred.
· Familiarity with dental laboratory materials and vendor networks is a plus.
