Role Overview
We are seeking a Production Coordinator to support the load-in, execution, and breakdown of an upcoming large-scale outdoor live event experience in New York this fall.
This is a physically active role focused on the delivery of the production—load in and load out. You will work closely with the Production Manager, Producer, and Assistant Producer to ensure the project stays organized, on schedule, and within budget.
This is a freelance, contract position that runs mid August - mid October 2026 for the load in and returns mid December - mid January 2027 for the load out. The Production Coordinator reports directly to the Production Manager of this experience.
The ideal candidate will be solutions-oriented, proactive, and comfortable performing a wide variety of operational tasks in a fast-paced environment.
Key Responsibilities
- Coordinate with the Production Manager regarding equipment rentals/returns, local purchases, and deliveries to ensure prompt distribution of equipment and materials around the work site.
- Distribute keys daily to designated crew members and ensure all keys return to the lock box at the end of each work day.
- Ensure drinking water is readily available to all crew members and facilitate the daily crew catering.
- Ensure the work site is cleaned at the end of each day to maintain an orderly work environment.
- Oversee installation/deinstallation of small drink machines, operational signage, and offices.
- Attend daily H&S meetings, and follow all safety procedures and guidelines when dealing with incidents on site by confirming all staff are appropriately certified and trained.
- Implementation of the Emergency Action Plan by ensuring it is updated to reflect any local laws or regulations. Assist with control of the site in the event of adverse weather conditions, ensuring all wind management and safety plans are adhered to.
- Complete any other reasonably requested related tasks as may be provided by Fever.
Working Conditions & Schedule
- This position takes place entirely outdoors in fields and heavily wooded areas.
- Candidates must be prepared to work outside in all weather conditions and handle environmental elements like uneven terrain and seasonal pests.
- On site days are scheduled as 10 hour workdays, Monday through Saturday with Sunday as the designated day off.
- A 1-hour unpaid walk-away lunch is designated each day.
- Load-in is scheduled for five weeks between September and October 2026. Load-out is scheduled for two weeks in January 2027. **Dates subject to change at Fever’s discretion.
Candidate Requirements & Qualifications
- 2+ years of experience in large-scale live events or entertainment, ideally in a Production Coordinator or Production Assistant role.
- Based in NYC or surrounding areas.
- Must have experience in using Google Drive and the Google suite of applications including Sheets, Word, Google Meetings.
- Must be able to lift up to 50 pounds and work outdoors for a standard 10 hour workday.
- Detail oriented and able to manage multiple tasks simultaneously.
- Ability to deal with stressful situations in a calm and professional manner.
- Must be an effective communicator, team oriented and have strong leadership skills.
- Comfortable working in a constantly changing environment.
Additional Information
The start date is August 24, 2026. Following the Production Coordinator’s start date, the proposed commitment is as follows:
- August 24 - September 13 : 3 days per week (Mon-Wed), remote
- September 14 - October 11 : 6 days per week (Mon-Sat), on-site
- October 12 - October 18 : 5 days per week (Mon-Fri), on site
- December 14 - January 3 : 3 days per week (Mon-Wed), remote
- January 4 - January 17 : 6 days per week (Mon-Sat), on-site
This role will be hired on a 1099 contract and paid on a day rate. The anticipated rate for this role is $220 - $280 USD, consummate with experience, to be invoiced and paid bi-weekly.
