Program Support Assistant

This position is under the Surgical Service and is located in the Surgical Services Office of the Chief (OOC) which is under the umbrella of Chief of Staff. The Program Support Assistant (PSA) is responsible for orientation, training and documentation compliance for all Surgical Service Providers, Residents, Medical Students, and Health Technicians. This requires working relationships with all sections of the service, other services within the facility, and with affiliated teaching institutions.

Duties include but not limited to: Assists Surgical Service as needed to ensure dictation and documentation are performed within established timeframes Ensures that facility and service medical record policies are being followed Ensures that the Surgical Services competency policies and SOPs are updated and current Answers questions concerning policies and procedures related to office support services Orders supplies for the Surgical Services Responsible for calling patients to reschedule or cancel appointments, updating the Recall Reminder, Electronic Wait List, and consults in CPRS as required Submit medication refill requests that are received in the form of secure messaging, voicemails, answered phone calls, or the patient physically visiting the Specialty Clinic Required to manage the minutes and make preparations for all meetings involving the section and staff Assist the Clinic Manager on administrative tasks and other duties as assigned Assists in the planning, review, and reporting of data/statistical results of program/project studies Maintains an electronic log for all Release of Information requests, ensuring they are completed correctly, and within the mandate time not to exceed 14 calendar days upon receipt Pull consult reports for the clinic and distribute them daily to the providers for triage Maintains automated system of program-specific data to track suspense items such as patient scheduling, patient flow, staff workload, program development milestones, progress reports, expenditures, and compliance of directives and strategies and prepares information Other duties as assigned Work Schedule: Monday - Friday, 800-1630 PST Position Description/PD#: Program Support Assistant/PD114230 Relocation/Recruitment Incentives: Not authorized Critical Skills Incentive (CSI): Not Approved Permanent Change of Station (PCS): Not Authorized PCS Appraised Value Offer (AVO): Not Authorized
