Program Support Assistant

The incumbent serves within the Medical Administration Service (MAS) as the facility's central authority for the development, implementation, maintenance, modification, inactivation, reactivation, and cancellation of clinic profiles supporting all clinical services. The incumbent performs a broad range of administrative analytical and evaluative duties involving the interpretation of regulatory guidance and assessment of operational requirements.

The incumbent will perform a variety of duties, including but not limited to the following: Establishes, builds, modifies, inactivates, reactivates, consolidates, and cancels clinic profiles based on approved operational requirements. Analyzes requests from service chiefs, providers, administrative officers, and other stakeholders to determine the operational, workload, access, and revenue implications of proposed clinic actions. Reviews and validates profile elements such as clinic name conventions, credit stop and secondary stop assignment, provider mapping, appointment length, overbooks, disposition patterns, and scheduling grids. Evaluates the downstream effect of clinic profile decisions on patient flow, template availability, provider utilization, recall capability, encounter completion, and data reliability used for management reporting. Exercises independent judgment in resolving complex profile issues. Develops, compiles, and analyzes recurring and ad hoc reports pertaining to clinic utilization, provider productivity, appointment availability, encounter completion, clinic cancellations, workload capture, and other indicators associated with the effectiveness of clinic profile management. Prepares findings, recommendations, and supporting analyses for MAS leadership and program official regarding clinic optimization, profile standardization, and corrective actions necessary. Resolving issues that may have facility-wide impact, particularly where inaccurate clinic profile construction could reduce provider productivity, limit Veteran access, create billable encounters, or compromise workload credit. Conducts systematic reviews and quality assessments of active and proposed clinic profiles to ensure compliance with applicable public laws, regulations, and guidance governing scheduling, workload capture, billing and ambulatory care integrity.
