Programme Coordinator
Summary
Coordinates mental-health youth programs, handling admin, reporting, budgets, and community events for a Singapore-based non-profit.
SAMH SAY-IT! (Sports, Arts, Youth Integrated Team) provides assessment and invention for youths and engages youths for ongoing monitoring and support. SAMH SAY-IT! also works actively with youth agencies, schools and community partners to provide holistic case management for youths and their families.
Job Role
The Program Coordinator plays a key role in supporting the service Head and the team in program administration, data management, and operations. This position ensures the smooth running of centre activities by maintaining accurate databases, preparing reports, and supporting finance, administrative and operational functions.
Job Responsibilities
A) Programme Administration & Operations
•Provide comprehensive administrative and operational support to the Head to ensure the smooth running of the centre.
• Coordinate daily administrative functions, including scheduling meetings, preparing agendas, taking minutes and tracking follow-up actions.
• Support the planning, coordination, and implementation of programme activities and initiatives.
• Prepare correspondence, reports, presentation materials and other programme-related documents.
• Maintain and continuously improve administrative processes and standard operating procedures.
B) Programme Monitoring & Reporting
• Assist in the preparation, consolidation, and submission of programme statistics, KPI reports, management reports and audit documentation.
• Ensure timely and accurate submission of reports required by internal management, funders and external stakeholders.
• Monitor programme deliverables and timelines, providing administrative support to ensure reporting requirements are met.
• Support data collection and analysis to facilitate programme evaluation and service improvement.
C) Data & Records Management
• Maintain accurate programme records, databases and electronic filing systems.
• Ensure timely documentation, data integrity, confidentiality and compliance with organisational policies and data protection requirements.
• Support regular data verification and quality assurance exercises.
• Maintain proper documentation for audits, programme reviews and accreditation requirements.
D) Finance & Procurement Support
• Support the monitoring of programme budgets and expenditure.
• Process procurement requests, purchase requisitions, invoices, reimbursement claims and payment documentation in accordance with organisational policies.
• Liaise with the Finance Department to ensure timely processing of financial transactions and accurate record keeping.
• Maintain inventory records and procurement documentation.
E) Outreach & Community Engagement
• Provide support for outreach events, workshops, roadshows, talks and community engagement activities.
• Assist in preparing post-event reports and maintaining event records.
F) Office Administration & Asset Management
• Oversee the upkeep and maintenance of office facilities to ensure a safe and conducive working environment.
• Maintain office assets, equipment and inventory, ensuring proper tracking and accountability.
• Coordinate servicing, repairs, maintenance and procurement with vendors and service providers.
• Ensure office supplies are adequately stocked and managed.
G) Office Administration & Asset Management
• Provide administrative support for audits, accreditation exercises and organisational projects.
• Support onboarding logistics for new staff where required.
• Undertake other duties and projects assigned by the Head or management in support of programme and organisational needs.
Job Requirements
• Minimum A Level.
• At least 2 years of relevant experience.
• Must be highly proficient in Microsoft Office (MS Word, Excel and PowerPoint).
• Able to multi-task and work independently.
• Possess good organizational, communication and written skills.
• Team player with good interpersonal skills.
• Applicants who have prior work experience in the Social Services sector and Mental Health field will have an added advantage.
