Programme Executive

Summary

Support early-childhood social programs by coordinating home visits, managing case records, organizing events, and handling logistics for families in need.

Position Overview

A dynamic and organized Program Executive to support case management, administrative tasks and programs run by KKCS KidSTART. You will be responsible for ensuring smooth operations of the programme, including but not limited to, conducting joint home visits with KidSTART Practitioners, management of facilities, inventory management, and preparing reports and rooms for meetings.

Key Duties & Responsibilities

1. Co-management of Cases

To support KidSTART Practioners and team in rendering services to clients.

1.1 To support KidSTART Practioners in home visits and assist to prepare case notes after home visit whenever required.

1.2 To assist KidSTART Practioners with preparation work for visits.

1.3 Support implementation of case plans and interventions especially in areas of resource and system connections.

2. Administrative Support

To maintain records and database of all KidSTART families under KKCS.

2.1 To track incoming referrals of cases, enrolment and closure of cases.

2.2 Manage and ensure that resources are updated and organized.

2.3 Assist with documentation (e.g., minute taking) during meetings and presentations.

2.4 To coordinate and schedule meetings and appointments with stakeholders.

2.5 Assist with preparation of reports for internal and external agency, including collating the Centre’s report for management committee meetings.

2.6 Liaise with HR on staff appraisals, employment, insurance matters, training etc.

3. Programme Support and Volunteer Management

To provide support to the team in planning & executing other programmes/projects to bridge service gaps.

3.1 To assist in planning and supporting the extra-curricular programmes and services on top of KidSTART home visits, such as year-end K2 Graduation event, PALS.

3.2 To assist in coordinating, managing, and training volunteers for these services.

4. Accounts

To track and maintain proper records of outgoing expense from the programme.

4.1 Prepare programme’ s claims and payments for submission to Accounts.

4.2 Maintain proper records and track usage of POA.

4.3 Assist in budget preparation and expense monitoring.

5. Logistical and Inventory Support

To track and maintain proper records of KidSTART inventory.

5.1 Keeping track of inventory items received from KSL such as welcome packs, diapers, and other donations or provisions from external agency.

5.2 Assist in procurement of supplies and materials when necessary.

6. Other Ad-hoc Tasks

6.1 To co-plan and co-run programme(s) for families when required.

6.2 Any other duties assigned by the Programme Head.

Requirements

Qualifications

1. Diploma or Degree in Social Work, Psychology, Early Childhood, Social Sciences, Business Administration, or a related discipline.

2. Candidates with relevant experience in programme administration, social services, or community work may be considered.

Experience

1. At least 1–3 years of relevant experience in programme administration, operations, community services, or the social service sector.

2. Experience coordinating programmes, events, or community initiatives will be an advantage.

3. Experience providing administrative support, including record management, scheduling, report preparation and meeting coordination.

4. Experience working with children, families, volunteers, or vulnerable communities will be an advantage.

5. Experience liaising with multiple stakeholders, including government agencies, community partners and volunteers.

6. Experience in procurement, budget tracking, claims processing or inventory management will be an advantage.

7. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint and Outlook), with experience using case management or database systems being an added advantage.
