Programme & Secretariat Executive (1 Year)

Summary

Coordinates and supports a one-year conference programme, including stakeholder engagement, logistics, and secretariat duties for an international organization in Singapore.

Key Responsibilities

  • Support the conceptualisation of conference programme, schedule, special showcases, and fringe programmes.
  • Engage internal and external stakeholders — public, private, community, and diplomatic sectors — to secure buy-in and alignment on strategic objectives.
  • Liaise with attending Committees on strategic and operational coordination, including drafting agreements and ensuring alignment with Committee law.
  • Plan hospitality logistics, including flights, accommodation, and ground transport.
  • Perform secretariat duties for the client group, including liaison with external vendors, note-taking, records management, and logistical support.
  • Support post-event administrative processes, including feedback collection and report generation.

Secretarial Duties:

  • Perform secretariat duties spanning administrative functions (records keeping, meeting preparation) and strategic/governance support.
  • Maintain membership database and support the annual membership open call.
  • Design the revenue framework and advise on effective utilisation of membership revenue.
  • Refine membership tiers to diversify membership applications.
  • Support the transition to a digital membership card.
  • Support engagement with local and international stakeholders.
  • Represent client group for related meetings, preparing position papers and memos as needed.
  • Partner with external vendors on the conceptualisation of related conferences and outreach activities.

Requirements:
• At least 3-5 years of work experience, preferably in international relations, and specific to working with International Organizations

• Keen interest in current and international affairs

• Enjoys engaging with a diverse range of local and international stakeholders

• Able to think, speak and write critically and strategically

• Creative, resourceful and able to multi-task

• Excellent team player and able to drive initiatives and projects involving stakeholders from multiple divisions or agencies

• Prior work experience involving the arts and culture sector, international relations and/or stakeholder engagement will be a strong asset

Salary: $5000 - 5500/Month
