Project & Account Manager — IT, Digital Marketing and AI Solutions
Position Overview
We are seeking an organized, technically capable, and client-focused Project & Account Manager to coordinate digital marketing, website, lead-generation, and AI software projects.
This person will serve as the primary liaison between clients, IT employees, programmers, designers, advertising specialists, and external partners. The successful candidate will translate client needs into clear project requirements, coordinate implementation, monitor results, resolve issues, and keep projects moving from initial sale through launch and ongoing account management.
This role is ideal for someone who combines strong client communication and project-management skills with a practical understanding of websites, system integrations, lead generation, paid advertising, analytics, and software platforms.
Key Responsibilities
Client and Account Management
Serve as the main point of contact for assigned clients in Canada and the United States.
Lead client onboarding, discovery meetings, project updates, training sessions, and performance reviews.
Understand each client’s business objectives, service areas, programs, target audiences, lead requirements, budgets, and technical needs.
Set clear expectations regarding project scope, timelines, responsibilities, deliverables, and results.
Translate client requests into detailed, actionable instructions for technical and marketing teams.
Provide clients with timely updates and communicate technical information in clear, non-technical language.
Identify client concerns early and coordinate appropriate solutions.
Build strong client relationships that support retention, satisfaction, account growth, and additional service opportunities.

Maintain accurate records of decisions, approvals, requests, and changes.
Project Management
Manage multiple projects simultaneously from planning and implementation through launch, quality assurance, and ongoing monitoring.
Develop project plans, timelines, task assignments, milestones, dependencies, and launch checklists.
Coordinate the work of programmers, IT staff, web developers, designers, copywriters, advertising specialists, and management.
Schedule and lead internal and client project meetings.
Monitor project progress and follow up on overdue tasks, unresolved issues, and required approvals.
Identify risks, technical dependencies, scope changes, and potential delays before they affect delivery.
Ensure that work is completed according to the approved scope, timeline, budget, and quality standards.
Manage change requests and clearly document changes to requirements, costs, and timelines.

Conduct post-launch reviews and ensure that outstanding items are completed.
Quality Assurance and Reporting
Develop and maintain checklists for onboarding, integrations, landing pages, websites, AI call flows, paid campaigns, tracking, and launches.
Verify that analytics, pixels, conversion events, call tracking, lead routing, and client reporting are configured correctly.
Monitor dashboards and alerts for system errors, integration failures, missed lead deliveries, unusual performance changes, and other issues.
Prepare concise client and management reports covering progress, performance, risks, and recommended actions.
Track project and account metrics such as delivery timelines, unresolved issues, client satisfaction, lead quality, system uptime, and campaign performance.
Document recurring problems and recommend process or product improvements.
Required Qualifications
Three or more years of experience in project management, account management, digital marketing, IT implementation, software onboarding, or a related role.
Demonstrated experience managing client-facing digital or technical projects.
Strong ability to coordinate clients, programmers, technical employees, marketers, designers, and senior management.
Working knowledge of ClickUp or a comparable project-management platform.
Working knowledge of Slack and Microsoft Office products, including Outlook, Word, Excel, PowerPoint, and Teams.
Practical understanding of digital marketing processes, including campaign planning, landing-page development, lead capture, conversion tracking, reporting, optimization, and client approvals.
Working knowledge of websites, online forms, CRMs, APIs, webhooks, analytics, call tracking, and system integrations.
Excellent written and verbal communication skills.
Strong organizational, documentation, prioritization, and follow-up skills.
Ability to manage several active clients and projects without losing attention to detail.
Ability to explain technical and marketing issues clearly to non-technical clients.
Strong judgment when handling deadlines, changing requirements, client concerns, and competing priorities.

Comfortable reviewing data and identifying performance or implementation problems.
Preferred Qualifications
Previous experience working with a private or for-profit college, career college, education provider, or education lead-generation company.
Understanding of the student admissions process at a for-profit college, including inquiry generation, lead distribution, admissions follow-up, appointment booking, applicant qualification, enrolment, financial-aid discussions, and regulatory considerations.
Understanding of how marketing, admissions, and campus teams work together to move prospective students from initial inquiry through application and enrolment.
Experience using ClickUp to create projects, assign tasks, manage deadlines, document requirements, and report on project status.
Experience using Slack to coordinate internal teams, manage project communication, and escalate issues.
Strong proficiency with Microsoft Office and Microsoft 365 tools.
Experience with AI conversational agents, contact-centre software, telephony, call routing, or automated appointment booking.
Experience implementing CRM, lead-distribution, or marketing-automation platforms.
Experience with Google Ads, Meta Ads, Google Analytics, Google Tag Manager, or comparable advertising and analytics platforms.
Familiarity with Canadian and US privacy, electronic communications, consent, and digital advertising requirements.
Experience reviewing landing pages for conversion performance, accuracy, compliance, and usability.

Project-management certification or relevant technical, marketing, or business education is an asset.
Ideal Candidate

You do not need to be a programmer, but you must be able to understand technical workflows, ask the right questions, document requirements accurately, test implementations, and hold projects accountable.
You should enjoy working directly with clients while also being willing to investigate details, follow up persistently, and take ownership of outcomes. You will be expected to anticipate problems, communicate openly, and ensure that no project is considered complete until it has been properly tested and is producing the intended result.

Compensation: 10,000 to 12,000 PLN B2
Travel: travel to Canada/USA may be required upto 3 times per year for maximum 7 days.
