Project Admin / Document Controller
Summary
Administrative role managing project documentation, reports, and coordination for a construction project using tools like Procore and Microsoft Office Suite.
KEY DUTIES & RESPONSIBILITIES
- Generate and compile project progress reports, including relevant data and statistics.
- Provide comprehensive administrative support to the project team.
- Coordinate with the Main Contractor, consultants, subcontractors, and internal stakeholders on document submissions and project-related administrative matters.
- Support the team with applications and preparations related to site clearance.
- Consolidate all essential project documentation, such as worker lists, Method of Statements (MOS), risk assessments, Operation &Maintenance Manuals (OMMs), catalogues, drawings, and training materials.
- Monitor and prepare weekly reports on discrepancies between project/testing & commissioning trackers and the Main Contractor’s uploads in Procore (including material submissions, shop drawings, MOS, etc.).
- Maintain an organized and up-to-date project filing system.
- Draft, edit, and compile detailed project progress reports.
- Oversee the overall document control process for the project, ensuring timely and accurate management of all documentation.
- Perform general office administration duties, including managing office supplies, transportation arrangements, and other site administrative matters.
- Undertake any other ad hoc duties assigned by the Project Manager.
JOB REQUIREMENTS
- At least NITEC or Equivalent
- 1-2 years of experience in Admin or a similar role, preferably in the construction industry.
- Strong knowledge of Microsoft Office Suite
- Excellent organizational and multitasking abilities to manage multiple projects and deadlines effectively.
- Experience working collaboratively in a team environment, supporting project managers and engineers.
