Project Administrator (AP/AR)
Job Overview
We are looking for a detail-oriented Project Administrator responsible for providing project administration support to ensure the efficient and timely completion of assigned administrative, document control, invoicing, reporting, and project support tasks.
The ideal candidate will have previous experience in project administration, document control, invoicing, and data entry, with intermediate Microsoft Office skills, particularly in spreadsheets and document formatting. Strong attention to detail, good time management, and the ability to manage multiple administrative tasks and deadlines are essential. Excellent written and verbal communication skills are also required, along with the ability to work effectively with internal teams and project stakeholders.

Key Responsibilities:
- Prepare invoices, support accounts receivable, manage receipting, cost accruals, invoice matching, and expense claims.
- Support document control, QA processes, project audits, drawing registers, and training matrix updates.
- Compile, format, download, distribute, upload, and manage tender documentation.
- Create and maintain spreadsheets, trackers, registers, databases, and project records.
- Communicate professionally with internal and external stakeholders via email and phone.
- Provide general administrative support and complete tasks assigned by Management or the Client.
What We're Looking For:
- Bachelor’s degree in Accountancy or a related field.
- Minimum of 2 years of Project Administration or Secretary support experience.
- Exposure to Engineering and Construction project environments.
- Experience working with international clients is an advantage.
- Experience in project administration, document control, invoicing, and data entry.
- Intermediate MS Office skills, especially spreadsheets and document formatting.
- Ability to manage administrative tasks, records, and deadlines with accuracy and attention to detail.
- Strong written and verbal communication skills.
- Willing to work full-time onsite in Arcovia, Brgy. Ugong, Pasig City, Monday to Friday, 7:30 AM–4:30 PM.
