Project Controls Analyst

The Project Controls Analyst supports the Project Manager and project teams in monitoring and coordinating construction projects across Asia.


The role is responsible for consolidating project information relating to schedule, cost, quality, change orders, manpower, safety, environmental compliance, financial performance, and project correspondence. The position also supports management reporting, document control, meeting coordination, data analysis, and communication between regional headquarters and project sites.


The successful candidate should be highly organized, analytical, and comfortable working with multiple stakeholders and projects simultaneously.

Key Responsibilities

  • Coordinate with construction project teams across Asia to collect and consolidate project information, reports, and supporting documentation.
  • Monitor and maintain information relating to project schedules, costs, quality, change orders, manpower, safety, environmental matters, and project progress.
  • Maintain accurate and organized project documentation and ensure records are readily accessible to management and relevant stakeholders.
  • Support the management and maintenance of Integrated Management System (IMS) documentation and assist during internal and external audits.
  • Assist management in monitoring project performance and identifying outstanding issues, risks, delays, or areas requiring follow-up.
  • Attend project and management meetings and coordinate the preparation of meeting materials, presentations, reports, and supporting documents.
  • Prepare and distribute accurate meeting minutes, including key discussions, decisions, responsibilities, and action items.
  • Coordinate and follow up on outstanding actions with relevant project teams and stakeholders.
  • Prepare monthly project performance reports covering project progress, sales/revenue, costs, gross profit, cash flow, financial projections, safety performance, and environmental matters.
  • Consolidate and analyze project financial information, including revenue, expenditure, margins, forecasts, and project progress.
  • Develop management reports, presentations, dashboards, and other project-control materials to support management decision-making.
  • Support communication between management, project teams, safety personnel, environmental specialists, and other departments.
  • Ensure project information and correspondence are communicated to the appropriate stakeholders in a timely manner.
  • Review project documents and correspondence in English and Japanese where applicable.
  • Perform other project coordination and control activities as required by management.

Qualifications

  • Bachelor’s degree in Engineering, Business Administration, Management, Construction Management, or a related discipline.
  • Previous experience in project coordination, project controls, document control, project administration, or similar functions.
  • Experience within the construction, civil engineering, infrastructure, or engineering industry is preferred.
  • Familiarity with project management principles and construction project processes.
  • Basic understanding of project cost control, budgeting, accounting principles, cash flow, and financial reporting.
  • Exposure to quality, safety, environmental, and/or Integrated Management Systems would be advantageous.
  • Basic understanding of labour and corporate regulations is an advantage.

Technical Skills

  • Strong proficiency in Microsoft Excel, Word, and PowerPoint.
  • Basic knowledge of Power BI, Power Apps, and Power Automate.
  • Ability to consolidate and analyze project and financial data.
  • Ability to prepare management reports, dashboards, presentations, and project documentation.
  • Strong document management, data organization, editing, and reporting skills.

Language Requirements

  • Strong written and spoken English is required.
  • Japanese language proficiency is preferred, as the position may review Japanese project documents and correspondence and assist with bilingual meeting minutes and reports.
