About the Role
Location: Memphis, TN (On-site)
Schedule:
Onsite 4 days per week, with typical working hours between 8:00–8:30 AM and 4:30–5:00 PM. Includes a 1-hour lunch break, with flexibility based on team and project needs.
Aegis Sortation is seeking a highly organized and detail-oriented Project Administrator to support office operations and project execution in Memphis, TN.This role is responsible for maintaining structure, organization, and consistency across day-to-day office processes while supporting project teams through scheduling, tracking, documentation, and administrative coordination. The ideal candidate thrives in fast-paced project environments and can effectively manage multiple priorities while maintaining accuracy and follow-through.
Candidates with experience supporting construction projects, material handling systems, warehouse automation, industrial installations, manufacturing operations, logistics, or project-based environments are strongly encouraged to apply.
This position will serve as a central point of coordination between project managers, field teams, vendors, subcontractors, and internal stakeholders. Responsibilities include supporting project administration, coordinating travel and logistics, maintaining project documentation, tracking project activities, and helping project teams stay organized as project activity continues to scale.
What You’ll Do
  • Provide structured administrative support across office operations and project teams
  • Support and maintain day-to-day office processes, ensuring organization, consistency, and follow-through across administrative workflows
  • Act as an in-office resource to help keep operations organized, responsive, and running efficiently
  • Assist with timekeeping processes, administrative tracking, and expense-related coordination, ensuring information is accurate and up to date
  • Coordinate travel logistics and scheduling needs for team members across active projects
  • Help manage communication, follow-ups, and coordination across multiple stakeholders
  • Maintain and update project schedules, trackers, and reporting tools to ensure information is current and reliable
  • Support documentation management across systems, ensuring consistency and accessibility of project data
  • Assist in tracking project progress, updates, and key administrative milestones to help keep teams aligned
  • Support material handling, automation, and industrial project teams through administrative coordination and project tracking.
  • Assist with tracking equipment deliveries, project schedules, installation activities, and project-related documentation.
  • Coordinate with project managers, vendors, subcontractors, and field personnel to ensure project information remains organized and accessible.
  • Help maintain project records, construction documentation, meeting notes, and project correspondence throughout the project lifecycle.
  • Support project closeout activities, documentation collection, and administrative reporting as needed.

Bachelor’s degree in business, operations, Construction Management, Project Management or a related field
Experience in office administration, coordination, or project support
Strong organizational skills with a high level of attention to detail
Ability to manage multiple priorities and follow through on tasks in a fast-paced environment
Proficiency in Microsoft Office tools including Excel, Outlook, and Teams
Strong communication skills and ability to stay organized across multiple teams
Preferred Qualifications
Experience in material handling, automation, construction, manufacturing, or industrial environments
Experience coordinating project schedules, field activities, vendors, subcontractors, equipment deliveries, or installation activities.
Familiarity with project documentation, change tracking, project reporting, or construction administration processes.
Experience using Microsoft Project, Teams Planner, or similar project planning tools
Familiarity with project tracking or documentation systems (ACC or similar platforms)
Interest or experience using AI tools to improve reporting, tracking, or workflow efficiency
