Key Responsibilities
Project Coordination & Implementation
- Support the project lead in implementing a new mailbox management system to streamline public correspondence handling
- Coordinate project activities, timelines, milestones, trackers and follow-ups
- Monitor project progress and ensure outstanding actions are followed up with relevant stakeholders
- Support implementation activities across multiple divisions
- Assist with post-launch monitoring and follow-up
Workflow Mapping & Process Improvement
- Map existing and future workflows, including routing rules, handoffs, requirements and potential risks
- Engage various teams to identify process gaps, pain points and improvement opportunities
- Support business process re-engineering initiatives to improve accountability, turnaround time and service consistency
- Assist with documenting processes, requirements and standard workflows
Stakeholder & Meeting Coordination
- Coordinate discussions, workshops and meetings with internal stakeholders
- Prepare meeting agendas, notes, decisions and action trackers
- Facilitate discussions and ensure follow-up on agreed actions
- Organise information and maintain accurate project documentation
Testing & Change Management
- Support user acceptance testing (UAT), including data preparation and issue tracking
- Assist with change management and communication activities
- Track feedback, issues and implementation requirements
- Support the team in resolving issues and monitoring system performance after launch
Website & Digital Content
- Coordinate website content reviews and updates with division webmasters
- Support migration, housekeeping and maintenance of website and intranet content
- Track content update requests and follow up with content owners
- Conduct basic quality checks and maintain website governance records
Operations & Digital Support
- Support service awards administration, operational activities and event logistics
- Assist with routine administrative duties across various workstreams
- Support the maintenance and oversight of service management channels
- Explore and support the responsible use of AI-enabled tools for triage, routing, summarisation, trend analysis and service quality monitoring
Requirements
- Degree in any discipline
- Relevant fields such as Communications, Business, Public Administration, Social Sciences, Service Management, Data Analytics, Information Systems or Project Management are advantageous
- Proficient in Microsoft Word, Excel and PowerPoint
- Basic AI and digital literacy with an interest in applying AI-enabled tools responsibly
- Knowledge or experience in workflow mapping and process documentation
- Strong project coordination, tracking and meeting facilitation skills
- Service-oriented and comfortable working with multiple stakeholders
- Interest in digital transformation, business process improvement and public service delivery
