We are seeking a detail-oriented and organized Project Coordinator to join our growing team in Sacramento, CA. This role will work closely with project managers, engineers, subconsultants, and our Project Cost Accounting (PCA) team to support the administrative and coordination needs of projects where KPFF serves as the prime consultant.

You'll help keep projects organized and moving forward by coordinating subconsultant agreements and scopes, project documentation, project setup and budget tracking, Bluebeam sessions, and permit submittals. This is a great opportunity for someone who enjoys working behind the scenes of complex projects, managing details, and collaborating with both technical and administrative teams.

What You'll Do

  • Prepare and track subconsultant agreements, amendments, and related documentation
  • Assist with the preparation and coordination of scopes and scoping documents for subconsultants
  • Create and maintain Bluebeam Studio Sessions and support project document coordination
  • Coordinate with Project Managers and the Project Cost Accounting (PCA) team on project setup, budgets, and billing tracking
  • Coordinate permit submittals, including preparing documentation, tracking status, and communicating with agencies
  • Maintain organized project files, agreements, correspondence, and other project documentation
  • Track project deadlines, action items, submittals, and administrative requirements
  • Coordinate with subconsultants and internal team members to gather information and keep project activities moving forward
  • Support project meetings, including scheduling, meeting materials, notes, and follow-up items as needed
  • Provide additional project coordination and administrative support to Project Managers throughout the project lifecycle
  • Experience in project coordination, project administration, or a similar role
  • Strong organizational skills and attention to detail, with the ability to manage multiple projects and priorities
  • Strong written and verbal communication skills
  • Comfortable working with project documentation, contracts, scopes, budgets, and other detail-oriented information
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams
  • Ability to work independently, take ownership of assigned responsibilities, and collaborate effectively across project teams
  • Proactive approach to tracking details, following up, and keeping work moving forward

Preferred Qualifications

  • Experience in an architecture, engineering, construction, or other professional services environment
  • Experience supporting projects involving multiple subconsultants
  • Experience with Bluebeam or similar project collaboration and document management tools
  • Familiarity with project setup, budget tracking, billing processes, or project accounting coordination
  • Experience coordinating permit applications or submittals with public agencies
  • Familiarity with professional services contracts, subconsultant agreements, and scopes of work

Compensation

The base salary range for this role is $28-$35 per hour, determined by experience, education, and skills. KPFF also offers performance-based bonuses to recognize outstanding contributions. Additional details about the full compensation package will be provided during the interview process.
