Project Coordinator
Summary
Project Coordinator at Level 3 Audio Visual (Mesa, AZ; remote flag set) who supports Project Managers on AV projects: updating documentation and schedules, booking resources, facilitating meetings, and leading project closeouts. Core toolkit is project management practice (WBS, QA plans) plus MS Teams.
Project Coordinator (PC) that will bring discipline and understanding of processes and offer a sharp acuity towards efficiencies. A professional PC is someone who has a passion for serving others, has a strong grasp of project management, can see through confusing scenarios, and is willing to improve every day. The successful candidate would possess the ability to learn quickly, see vulnerabilities and be willing to correct those without guidance.
A PC will work together with several Project Managers to ensure documentation compliance and communication is occurring on all projects. The PC will update documentation, and schedules and perform administrative tasks that assist the PM in leading the project to a successful outcome. The PC will lead several portions of the project on his/her own.
Additionally, the candidate will also need to have the drive and enthusiasm to be an integral part of a technical team and company. L3 expects consistent efforts toward excellence, career development, and teamwork. The PC will serve as a glue to a successful project team that manages and monitors change within the project lifecycle.
Summary of Accountabilities:
- Spearhead operational and administrative tasks of the project team
- Coordinate schedules with internal and possibly external, customers for the project
- Facilitate meetings in conjunction with the Project Manager
- Book the internal resources needed to execute a project
- Guide projects through their phases with the overwatch of the PM
- Function as lead over the project closeouts
- Prepare any project-related presentations or documents
- Manage project documentation: schedules, project folders, WBS, and other project artifacts
- Participate in all project meetings to ensure communication flows are accurate, provide clarifications and problem-solving solutions
- Work with and assist project managers as needed to ensure a quality customer experience
- Coordinate travel requirements when needed for the project team
Qualifications:
- Ability to work with cross-functional teams to help coordinate various activities within a project or program
- Keen attention to details and documentation
- Ability to create and hone processes that streamline efforts for all parties
- Ability to prioritize own workload across multiple projects simultaneously and be comfortable working in a dynamic environment
- Ability to influence other team members and managers to comply with policies and processes
Experience Requirements:
- 1+ year of industry experience
- 1+ Project Management experience
- Experience working with Quality Assurance plans or programs
- Experience with MS Teams
Training \ Certification \ Education Requirements:
- High School Diploma or equivalent
- 4-year college degree preferred
- PMI certifications and/or training
