Project Coordinator – Low Voltage (LV) Engineering Support

ABOUT THE ROLE

APIC Solutions is seeking a detail-oriented and organized Project Coordinator to join our Operations team. In this role, you will play a critical role in ensuring successful project execution by managing documentation, coordinating between teams, and maintaining accurate project records throughout the entire project lifecycle. This position offers an excellent opportunity for entry to mid-level candidates to grow their skills in project management while supporting our engineering, sales, and operations teams.

You will work collaboratively with internal teams and external partners to ensure projects are properly planned, documented, and executed with excellence.

KEY RESPONSIBILITIES

CRM & Project Management:

• Maintain accurate and up-to-date engineer notes, bid dates, and project timelines within APIC CRM
• Support project setup by verifying documentation completeness and maintaining organized electronic folders
• Ensure project timelines are clearly established, tracked, and followed throughout the project lifecycle

Documentation & Organization:

• Assist with gathering and organizing drawings, data sheets, specifications, and other required project documentation
• Assemble and organize project submittal packages for review and approval
• Assist with collection of as-built documentation and closeout materials
• Ensure proper electronic document storage and archival

Coordination & Collaboration:

• Attend and participate in weekly planning meetings to support project tracking and execution
• Work closely with engineering, sales, and operations teams to ensure projects are opened and executed successfully
• Build and maintain strong relationships with suppliers, subcontractors, and external partners

Vendor Management & Estimating:

• Track vendor quotes and ensure delivery deadlines are met
• Update pricing from multiple vendors and manufacturers into estimating software and spreadsheets
• Help tighten project timelines and identify cost optimization opportunities

REQUIRED QUALIFICATIONS

• Strong written and verbal communication skills with the ability to explain technical information clearly
• Advanced proficiency with Microsoft Excel and project management software
• Strong analytical skills with ability to review project documentation and specifications for completeness and accuracy
• Excellent organizational and time management skills with ability to manage multiple priorities
• Ability to build productive relationships with clients, vendors, subcontractors, and internal teams
• Detail-oriented with strong accuracy in documentation and record-keeping
• Ability to work collaboratively in a fast-paced team environment
• Entry to mid-level experience welcomed; training provided

PREFERRED QUALIFICATIONS

• Familiarity with low voltage systems or electrical construction projects
• Experience with Bluebeam or similar project management software (training available)
• Previous experience in project coordination, construction, or engineering environments
• Familiarity with CRM systems or project tracking software
