ESSENTIAL FUNCTIONS / KEY RESPONSIBILITIES:
Documentation & Administration
- Gather, organize, and maintain project documentation including milestone dates, statements of work (SOWs), site surveys, drawings, and permits.
- Maintain and update documents submitted or pending from subcontractors, permitting agencies, or clients.
- Assist with general administrative tasks to support the project management team.
Systems & Tracking
- Set up and maintain projects in project management systems as directed by the Project Manager.
- Maintain up-to-date project tracking logs and dashboards.
Purchase & Procurement Support
- Prepare purchase requests and assist with issuing purchase orders to suppliers and contractors under the direction of the Project Manager.
Reporting & Closeout Support
- Assist Project Managers in preparing status report updates to be shared with customers.
- Support project closeout processes by organizing and filing final documentation packages.
- Perform other related duties as assigned.
QUALIFICATIONS REQUIRED:
EDUCATION
- Post-secondary diploma or degree in Business Administration, Project Management, or a related field preferred.
- PMP certification or working towards is considered an asset.
EXPERIENCE REQUIRED:
- 0–2 years of experience in an administrative, coordination, or office support role.
- Experience working in a fast-paced, deadline-driven environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and document management systems.
- Experience with project management software or tracking tools is an asset.

PHYSICAL DEMANDS:

- Regularly required to sit and work at a computer for extended periods of time.
- Frequently required to use hands to operate a keyboard, mouse, and telephone.
- Occasionally required to stand, walk, or move within an office environment.
- Must be able to lift and handle items weighing up to 25 lbs on an occasional basis.
- Specific vision abilities required include close vision for extended periods of screen use.
- Must be able to communicate effectively verbally and in writing on a regular basis.
Salary:
- $50,000 to $55,000
- The estimated range is the budgeted amount for this position. Final offers are based on various factors, including skill set, experience, location, qualifications and other job-related reasons.
