Summary

Supports the Program Management Office at PureTek, a pharmaceutical manufacturer: maintains project schedules, trackers, and documentation in Monday.com, coordinates meetings and change requests, and provides on-floor support for line trials, solid dose pilot batches, and equipment qualification (FAT/IQ/OQ/PQ).

Position Summary

The Project Coordinator supports the Program Management Office in the planning, tracking, and documentation of projects across PureTek Corporation’s pharmaceutical manufacturing operations. Working under the direction of the Program Office Manager, this position maintains project schedules, trackers, meeting records, and project documentation, and coordinates the logistics that keep projects moving — scheduling, material and equipment readiness, and follow-up on open action items. The Project Coordinator also provides on-floor support for line trials, solid dose pilot batch programs, and equipment qualification activities. This is a support role: the incumbent executes and maintains rather than sets project direction, and refers scope, schedule, and priority decisions to the Program Office Manager.

Essential Duties and Responsibilities

  • Maintains project schedules, task lists, and milestone trackers in Monday.com, updating status from input provided by project owners and functional departments.
  • Schedules and coordinates project meetings; prepares agendas, records meeting minutes, and distributes action item logs with assigned owners and due dates.
  • Follows up on open action items and outstanding deliverables, and reports status and aging items to the Program Office Manager.
  • Maintains the PMO document repository, project files, and templates; confirms records are current, complete, correctly named, and retrievable.
  • Processes change requests through the established change management workflow, including intake, routing for review, and documentation of approved changes.
  • Escalates schedule slips, blocked tasks, and unresolved action items to the Program Office Manager in a timely manner.
  • Coordinates with Quality Assurance and Regulatory Affairs to track the status of project-related documentation and approvals.
  • Coordinates with Supply Chain, Planning, and Purchasing on the status of materials, components, and long lead-time items required for project activities.
  • Assists the Program Office Manager with resource and capacity tracking by maintaining project loading and assignment records.
  • Prepares meeting materials, presentation decks, and project summaries as directed.

Technical Operations & R&D Support

  • Supports new component evaluations by scheduling trials, requesting samples and specifications from our sourcing team, and compiling evaluation findings into the established documentation format.
  • Coordinates the logistics of line trials, including equipment and room availability, material staging, personnel scheduling, and data collection forms.
  • Provides on-floor presence during line trials and Solid Dose Pilot Batch monitoring runs to record in-process observations and collect trial data.
  • Assists R&D with the preparation of trial protocols, data collection forms, and trial summary reports.
  • Attends Performance Qualification (PQ) activities during equipment and process onboarding; documents execution, logs open items, and notifies Quality of observed deviations.
  • Maintains equipment onboarding trackers covering FAT, IQ, OQ, and PQ status and associated documentation.

Qualifications Required

  • Associate’s or Bachelor’s degree in Business Administration, Engineering, Life Sciences, or a related field; equivalent combination of education and directly related experience will be considered.
  • 1–3 years of project coordination, administrative, planning, or manufacturing support experience, preferably in pharmaceutical, nutraceutical, or other regulated manufacturing environments.
  • Proficiency in Microsoft Office Suite, including intermediate Excel (pivot tables, lookups, chart building); working familiarity with MS Project, Smartsheet, or equivalent scheduling software.
  • Strong organizational skills and attention to detail, with demonstrated ability to track many open items across concurrent projects without dropping follow-up.
  • Clear written and verbal communication skills, including the ability to write accurate meeting minutes and concise status summaries.
  • Ability to work in a manufacturing environment, including gowning requirements and extended periods standing on the production floor.
  • Availability for occasional off-shift or weekend coverage during line trials and qualification activities.
  • Ability to travel between PureTek facilities as required.

Preferred

  • Exposure to GMP guidelines, controlled documentation practices, or change control.
  • Bilingual in English and Spanish.
  • Familiarity with solid dose operations (granulation, compression, coating, packaging) or personal care and liquid manufacturing.
  • Familiarity with electronic quality management systems (MasterControl, ETQ, or equivalent) and ERP systems.
  • CAPM certification or coursework toward a project management credential.

Core Competencies

  • Follow-through and reliability on committed dates
  • Organization, attention to detail, and documentation discipline
  • Clear, concise communication across shop floor and office audiences
  • Cross-functional cooperation and responsiveness
  • Sound judgment on when to resolve independently and when to escalate
  • Adaptability in a fast-paced, regulated environment
