We are looking for a highly organised Project Coordinator who can keep multiple moving parts on track in a busy, fast-changing environment. You will manage permit follow-ups, scheduling, invoicing and workflow coordination while communicating regularly with building departments and customers.
This role is less about having a specific title or qualification and more about having a natural talent for coordination. You should be able to juggle priorities, pivot quickly, follow through consistently and maintain accuracy under pressure.
Key responsibilities
- Follow up on permits and coordinate with relevant building departments.
- Schedule and confirm customer appointments.
- Manage invoicing and support accurate administrative processing.
- Monitor workflows, track outstanding actions and keep projects moving forward.
- Communicate confidently and professionally with customers and external departments by phone.
- Reprioritise tasks as circumstances change and ensure urgent matters are handled promptly.
- Double-check information and completed work before submitting it.
- Use team communication channels effectively, including responding to tagged tasks and taking clear ownership of assigned actions.
Requirements
- Excellent spoken English with clear, neutral and easy-to-understand phone communication.
- Strong organisational skills and the ability to manage a high volume of competing priorities.
- A proactive approach, with the confidence to follow up and keep tasks moving.
- Excellent attention to detail and a habit of checking work carefully.
- The ability to remain calm, constructive and professional in a direct, fast-paced environment.
- Strong written communication skills.
- Comfort learning new systems and processes. No specific software experience is required.
You do not need to have held the title of Project Coordinator. We welcome candidates with strong transferable experience, including:
- Construction, permitting or a related operational environment.
- A high-volume or similar fast-paced setting.
- Constant juggling, structured coordination and quick changes in direction.
