About the Role
As a Project Coordinator, you will own assigned orders from approved sales order through shipment, delivery, and closeout, ensuring execution accuracy, supplier coordination, proof management, order-status tracking, and timely escalation of risks.
You will act as the operational anchor across Sales, Account Management, Billing, Accounts Receivable, Operations, Warehouse, and external suppliers. You will audit order details before production, manage proofs, resolve routine and shipping exceptions independently, and mentor lower-level Project Coordinators to drive process consistency and reduce rework.
What You'll Do
End-to-End Order & Project Execution
Own assigned orders throughout the entire post-sale lifecycle—from approved sales order through proofing, supplier production, shipping, delivery, and closeout.
Review order details (approved item, quantity, pricing, shipping method, ship-to info, delivery dates) to confirm completeness and escalate discrepancies prior to production.
Maintain accurate Order Manager, Point of Contact, order status, dates, notes, and follow-up actions in NetSuite and designated systems.
Coordinate with suppliers on production schedules, timelines, and requirements; issue and manage Purchase Orders (POs) as assigned.
Manage artwork/design proofs through production, ensuring proof details match approved order specs and documenting all approvals and changes.
Coordinate shipments, track carrier websites, confirm delivery, and proactively resolve shipping exceptions or delays.
Proactively identify and escalate risks that could impact event-dated orders, production schedules, delivery deadlines, or customer commitments.
Maintain professional communication with clients, Account Executives, Account Managers, sales teams, suppliers, Billing, AR, Operations, and warehouse teams.
Respond to internal inquiries regarding assigned orders, resolving routine issues independently while escalating complex or high-risk matters promptly.
Leadership, Mentorship & Process Improvement
Mentor and support less-experienced Project Coordinators to build consistency and reduce operational rework.
Contribute to workflow improvements and document order actions to increase operational efficiency.
Provide shared cross-team coverage and support during high-volume periods or team absences.
Work independently with minimal supervision, prioritizing multiple orders, competing deadlines, and clear ownership of assigned accounts.
What We're Looking For
Required Qualifications
2–3+ years of experience in project coordination, order management, customer service, logistics, fulfillment, or related operational roles.
Strong hands-on experience working with NetSuite (specifically Order Manager, order tracking, and PO workflows) and Microsoft Office.
Proven experience in supplier coordination, Purchase Order (PO) management, and handling artwork/proof approvals.
Demonstrated ability to identify pre-production errors and proactively manage high-risk or event-dated orders.
Exceptional written and oral communication skills in English (C1/C2), including professional email and telephone etiquette.
Solid understanding of sales-to-order handoffs, supplier coordination, proofing, shipping, billing, and order closeout processes.
Experience mentoring junior peers or driving workflow improvements to reduce rework.
Preferred Qualifications
Direct experience in custom manufacturing, promotional products, print/merchandising, or complex B2B supply chain environments.
Proven active listening skills, strong organizational habits, and the ability to ask clarifying questions under tight deadlines.
