As a Project Coordinator, you'll play an important role in making that happen. You'll work closely with Estimators, Project Managers, field crews, customers, insurance adjusters, and vendors to keep projects organized, moving forward, and completed successfully.

What You'll Do
The Project Coordinator supports multiple Estimators and Project Managers and helps ensure projects are coordinated efficiently from the office. You'll help maintain communication between the office, field teams, customers, insurance representatives, and vendors while keeping projects organized and on schedule.
Project & Job File Coordination
- Support and coordinate the work of multiple Project Managers, Estimators, and production teams.
- Identify and help remove barriers that could prevent successful project completion.
- Monitor project and job file status from beginning to closeout.
- Maintain accurate and organized project files and documentation.
- Review and validate initial field documentation.
- Prepare preliminary and emergency service estimates.
- Review estimates for accuracy and consistency with field documentation and client/insurance guidelines.
- Prepare and track contracts, invoices, submittals, estimates, change orders, and supplements.
- Complete job file audits and assist with final job closeout.
- Perform job file backups and maintain work-in-progress (WIP) documentation.
- Provide timely project status updates to Project Managers and Estimators.
Customer & Team Communication
- Serve as a primary point of contact for customers, vendors, Project Managers, Estimators, and other project partners.
- Maintain clear and timely internal and external communication throughout the project.
- Assist with customer questions and escalations and help ensure concerns are addressed promptly.
- Assist with answering phones and sending First Notices of Loss (FNOL) as needed.
- Assist with insurance adjuster communication when needed.
- Facilitate customer warranty documentation and Certificates of Satisfaction (COS).
Production Support
- Collect and review daily production site reports and Drybook documentation.
- Work with Crew Chiefs/Lead Technicians to identify and make necessary updates.
- Coordinate deliveries of dumpsters, portable restrooms, and other project-related needs.
- Develop customer material allowances and selection sheets.
- Assist with ensuring projects meet applicable insurance and compliance requirements.
- Help ensure accurate and timely billing information is provided to Accounts Receivable.
- Assist with collections when needed.
