1. Program Operations Management
1.1 Coordinate Daily Program Operations
Oversee and coordinate the daily operations of all SMI branches and field activities
Ensure smooth implementation of all health interventions and outreach activities as per SMI SOPs and organizational guidelines
1.2 Ensure Operational Efficiency
Monitor workflow, operational systems, and field implementation to ensure efficiency and timely execution of activities
Identify operational gaps and coordinate corrective actions
1.3 Support Program Expansion
Oversee and coordinate project expansion activities, including:
Need assessments
Community listing
Branch setup
Staff recruitment and onboarding
Operational readiness
Logistics coordination
Implementation support
2. Budget, Resource, and Administrative Coordination
2.1 Ensure Proper Resource Utilization
Monitor utilization of financial, human, and material resources to ensure cost-effective program implementation
Prevent both underutilization and overutilization of resources
2.2 Coordinate Budget Utilization
Coordinate with finance and branch teams to ensure proper budget utilization and adherence to approved financial plans
2.3 Procurement Coordination
Coordinate procurement requirements for all SMI branches, including:
Medicines
Nutrition supplies
Equipment
Logistics
Operational materials
Follow up with procurement and supporting departments to ensure timely delivery and availability of resources
2.4 Coordination with Supporting Departments
Ensure effective coordination with:
Finance Department
HR Department
Procurement Team
Administration Department
IT/Data Team
Other supporting departments
3. Team Coordination and Performance Monitoring
3.1 Conduct Regular Review Meetings
Conduct regular meetings with branch teams, State Coordinators, Zonal Coordinators, Medical Officers, Staff Nurses, and field-level staff to review program implementation and operational challenges
3.2 Employee Performance Monitoring
Monitor branch-wise and employee-wise performance regularly
Ensure alignment of employee responsibilities with approved KRAs and KPIs
3.3 Support Staff Accountability
Track productivity, reporting compliance, follow-up completion, and quality of interventions across branches
3.4 HR Coordination
Coordinate with HR regarding:
Recruitment requirements
Attendance and leave management
Performance concerns
Staff onboarding
Staff retention
Disciplinary matters
4. Program Monitoring and Intervention Coordination
4.1 Monitor Program Activities
Coordinate and monitor all program-related interventions, including:
Community outreach
Health camps
Nutrition programs
NCD follow-ups
Immunization tracking
Early detection activities
WASH interventions
Referral services
4.2 Ensure SOP Compliance
Ensure all branches follow SMI SOPs, organizational policies, documentation standards, and reporting timelines
4.3 Support Problem Resolution
Address operational challenges faced by branches and coordinate timely solutions with management and relevant departments
5. Reporting, Documentation, and Communication
5.1 Maintain Operational Documentation
Ensure proper maintenance of operational records, branch reports, activity reports, and monitoring documents
5.2 Reporting to Management
Prepare and submit regular operational updates, performance reports, and intervention summaries to management, partners, and sponsors
5.3 Communication and Information Dissemination
Ensure all instructions, updates, circulars, and operational communications are properly disseminated to branches and field teams
6. Coordination with Leadership and Stakeholders
6.1 Coordinate with State and National Teams
Maintain regular coordination with State Coordinators, National Coordinators, and leadership teams regarding program implementation and operational progress
6.2 Support External Coordination
Coordinate with external stakeholders, partners, government departments, and supporting agencies whenever required for program implementation
7. Data Monitoring and Program Quality
7.1 Monitor Program Data
Ensure timely submission and quality monitoring of branch data, including:
Health interventions
Nutrition activities
Early detection activities
Outreach visits
Staff performance indicators
Resource utilization
7.2 Support Data Analysis
Coordinate with program and IT teams to analyze operational and programmatic data for decision-making and performance improvement
