Project Coordinator

Job Description

• Act as the primary liaison between general contractors, clients, and the ZLW project team
  
• Lead and participate in meetings with senior stakeholders, including on-site client meetings
  
• Own project budgets end to end: track spending against forecast, flag scope changes and overruns early, and keep the numbers current in Zoho Projects
  
• Build time-tracking reports from the project team's logged hours, and reconcile them against project financials to assess profitability
  
• Maintain and update tasks, timelines, and documentation in Zoho Projects
  
• Coordinate resources and scheduling across the project team
  
• Work with the other project coordinators to make sure equipment and deliveries arrive on site on schedule
  
• Track action items after meetings and follow through to completion
  
• Surface risks and delays before they become problems
  

Requirements

Requirements

• Project management or project coordination experience, ideally in technology or construction
  
• Confidence in meetings with senior stakeholders and general contractors, including the ability to hold your position when scope or timelines are challenged
  
• Clear, professional written communication with external clients
  
• Strong working knowledge of project management software (Zoho Projects is an asset)
  
• Comfort using AI tools to streamline reporting and documentation, and an interest in improving processes rather than just maintaining them
