Project Executive

The Project Executive is responsible for coordinating and monitoring upgrading, maintenance, improvement, and infrastructure projects within the Town Council estates. The role ensures projects are delivered on time, within budget, and in compliance with regulatory, quality, safety, and contractual requirements.

Key Responsibilities

1. Assist in managing the full procurement and project lifecycle, including the preparation of ITQ and ITT documents, tender administration, contract award, post-contract management, and project coordination, ensuring compliance with procurement policies and procedures through to project completion and final account closure.

2. Maintain and monitor a centralized database of contracts, tender documents, contractor records, project documentation, claims, and contract and insurance expiry dates, ensuring accurate documentation, timely processing of claims, VO and EOT applications, and compliance with contractual and regulatory requirements.

3. Monitor project milestones and progress to ensure alignment with approved plans, and coordinate project resources and activities to achieve timely and successful delivery.

4. Monitor project budgets and expenditures to ensure cost control, while maintaining accurate and up-to-date records of project costs and budget utilization throughout the project lifecycle.

5. Generate periodic management reports on project status, performance indicators, and expenditure.

6. Provide administrative support by coordinating meetings and preparing detailed and accurate minutes, ensuring timely circulation and follow-up of action items.

7. Support internal and external audits and statutory submissions, ensuring accurate documentation, timely completion and compliance with relevant regulatory requirements.

8. Any other adhoc duties assigned

Requirements

1. Diploma or Degree in Civil Engineering, Building, Construction Management, Project Management, Facilities Management, Architecture, or related disciplines.

2. At least 2–5 years of relevant experience in project coordination, construction, facilities management, estate management, or infrastructure projects. Candidates with experience in public sector procurement and project management within a municipal services setting will have an added advantage.

3. Proficient in Microsoft Office applications, including Excel, Word, and PowerPoint. Familiarity with Microsoft Project will be an advantage.

4. Ability to work independently and collaboratively with stakeholders, consultants, and contractors, while managing multiple priorities and meeting project or procurement deadlines.
