Project Manager (Design Operations)

Location: Warsaw, Poland
Format: On-site, full-time
Seniority level: Middle / Senior

At EPC Network, we’re not just a digital marketing company, we’re a platform for career transformation and personal growth. Our people-first approach shapes our corporate culture, fostering a team of passionate, smart, and energetic individuals who strive to grow professionally in an international, fast-paced environment.

As a Project Manager, you’ll be responsible for building and running the operating system of our design department, from request intake and planning to deadline, workload and reporting control. Your goal is to let designers focus on design while stakeholders always know the status, timelines and priorities. You will work closely with all business units, the Creative Lead, unit leads, marketing, development and copywriters, and report to the Head of Design.

Key Responsibilities:
  • Take in requests from the business, clarify goals and turn them into clear briefs and requirements.
  • Estimate effort, prioritize tasks and agree on timelines with stakeholders.
  • Manage projects from request to delivery: planning, deadlines, dependencies and statuses; spot risks, blockers and delays early and escalate them with proposed solutions.
  • Plan and balance designers’ workload across units and directions, forecast resource needs and give the Head of Design data for decisions on hiring, reallocation and priorities.
  • Define, implement and improve processes (request intake, reviews, handoff, task closure) and maintain a single task management system (boards, templates, statuses, SLAs) in [Jira / Asana / ClickUp].
  • Formalize areas of responsibility (RACI) between design, marketing, development and copywriting; work with the Creative Lead and unit leads (operations sit with the PM, creative and quality decisions with the leads).
  • Gather and analyze stakeholder requirements, turning vague requests into clear, actionable tasks.
  • Track department metrics (lead time, throughput, % of tasks on time, utilization, number of iterations) and prepare dashboards and regular reports for the Head of Design and management.
  • Analyze bottlenecks and propose data-driven improvements.
  • Act as the single point of contact for operational questions to the design team, run planning sessions, stand-ups, retrospectives and status meetings, and keep statuses, timelines and priorities transparent to everyone involved.
Requirements:
  • 3–5 years of experience in management (project, product, operations or delivery), ideally with creative or design teams.
  • Strong command of Agile/Scrum (a key requirement) and hybrid approaches, with the judgment to choose the right one for the team.
  • Ability to estimate tasks, plan resources and build realistic timelines.
  • Business analysis skills: requirements gathering, decomposition, writing acceptance criteria, working with metrics.
  • Confident use of task trackers and analytics tools (Looker Studio).
  • Structured and proactive, able to balance business needs with the team’s real capacity.
  • Ability to handle difficult negotiations, say “no” with solid arguments and offer alternatives.
  • Fluent Ukrainian, English at B2+ level.
Nice to have:
  • experience in Design Ops or in marketing/affiliate/performance teams; understanding of design processes (briefs, reviews, handoff to development, design systems);
  • experience building processes from scratch;
  • certifications (PMP, PRINCE2, PSM/CSM, CBAP) or using AI tools in operational work.
What it means to be part of our Team:
  • Multinational and intercultural experience
  • Corporate library
  • Growth opportunities, cutting-edge frameworks and technologies
  • Plenty of engaging team-building and social events
  • Bonuses according to the policy
  • 21 paid vacation days & 14 paid sick leaves
  • Cozy office in Warsaw, Kyiv available for you whenever you need it
  • Coffee, tea, Red Bull, sweets, fruits, and more snacks
