Project Manager - Executive Assistant

Summary

Support a CEO and nonprofit team by managing complex calendars, donor communications, and strategic initiatives while improving operational workflows in a fully remote role.

This is a remote position.

Our client is seeking a highly organized, strategic, and mission-driven Project Manager / Executive Assistant to support their CEO and Development Team. This is not a traditional EA role. It’s a hybrid position combining operations, project management, and donor relationship management within a nonprofit that has provided over 8,000 scholarships worldwide.

Responsibilities

  • Manage the CEO’s complex calendar and coordinate meetings with staff, board members, donors, and partners, ensuring alignment with strategic priorities.

  • Handle email correspondence and inbox management when needed, filtering, prioritizing, and resolving with strong judgment.

  • Provide strategic and operational support on the CEO’s initiatives, including light research, data entry, task tracking, and process improvements.

  • Act as a project manager for key initiatives, keeping timelines, priorities, and stakeholders aligned.

  • Support donor communications, grant-related tasks, and stewardship projects like impact updates and student stories.

  • Research donor prospects and maintain an updated, actionable pipeline.

  • Build and nurture donor relationships through personalized, strategic communication.

  • Coordinate travel, events, and itineraries for the CEO.

  • Maintain CEO’s professional materials (bio, headshots, awards, thought leadership).

  • Assist with board management: scheduling, onboarding, and tracking member terms.

  • Recommend and implement tools, automations, and workflow improvements without relying solely on AI.



Requirements

  • 3+ years as an Executive Assistant, Operations Coordinator, or Project Manager, ideally in nonprofits, social impact, or startups.

  • Experience in client-facing, donor-facing, or high-level stakeholder roles.

  • Excellent organization and time management skills, with the ability to handle high volume in a fast-paced environment.

  • Strong logical thinking, strategic judgment, and the ability to connect day-to-day tasks with the bigger picture.

  • High autonomy, ownership, and initiative.

  • Proficiency with Google Workspace and familiarity with Salesforce or similar CRMs.

  • Tech-savvy and comfortable with modern tools, while maintaining independent critical thinking (not AI-dependent).

  • High emotional intelligence, charisma, and professionalism.
