Project Manager – Custom Fabrication

About the Position

ID3 Group is seeking an experienced Project Manager to lead complex custom fabrication projects for live entertainment, experiential environments, exhibits, events, and specialty installations.

The ideal candidate understands how custom projects move from creative concept and technical design through engineering, fabrication, finishing, delivery, and installation. This role requires someone who can successfully manage multiple projects, shifting priorities, strict deadlines, budgets, clients, vendors, and internal production teams at the same time.

Key Responsibilities

• Manage multiple custom fabrication projects simultaneously from project handoff through installation and closeout.
• Review estimates, contracts, drawings, specifications, schedules, and client expectations to confirm project scope and deliverables.
• Develop and maintain project schedules, budgets, milestone dates, procurement requirements, and installation plans.
• Translate creative concepts and client objectives into clear production requirements.
• Coordinate work across metal, carpentry, scenic, paint, graphics, digital, engineering, logistics, and installation teams.
• Lead project kickoff and status meetings and maintain clear documentation of decisions, deadlines, responsibilities, and action items.
• Serve as a primary client contact and provide timely, professional project updates.
• Monitor labor, material, vendor, freight, and subcontractor costs to protect project schedules and profitability.
• Manage scope revisions and change orders, including cost and scheduling impacts.
• Coordinate vendors, subcontractors, shipping, site access, equipment, installation labor, and project closeout.
• Identify project risks, resource conflicts, and production challenges and recommend practical solutions.
• Verify that completed work meets approved drawings, specifications, quality standards, and client expectations.
• Maintain complete and accurate project documentation.
• Ensure project planning supports safe fabrication, material handling, transportation, installation, and dismantling.

Qualifications

• At least three to five years of project management or production management experience in custom fabrication, live entertainment, experiential marketing, exhibits, events, themed environments, scenic production, or a closely related industry.
• Strong understanding of custom fabrication methods and materials, including wood, metal, plastics, scenic finishes, graphics, hardware, and mixed-media assemblies.
• Proven ability to manage multiple fast-paced projects with competing priorities and firm deadlines.
• Ability to read and interpret technical drawings, shop drawings, plans, specifications, bills of materials, and production schedules.
• Experience managing project budgets, schedules, vendors, change orders, and client expectations.
• Excellent written and verbal communication skills.
• Strong attention to detail, organization, follow-through, and problem-solving abilities.
• Ability to remain calm, flexible, and solutions-focused when project conditions change.
• Proficiency with Microsoft Office and experience with project management, ERP, estimating, scheduling, or drawing-review software.
• High school diploma or equivalent required. A degree in project management, construction management, design, theater production, engineering, business, or a related field is preferred. Equivalent industry experience will be considered.

Additional Requirements

• Must be able to work on-site in an office and active fabrication-shop environment.
• Must be able to safely navigate production facilities and installation sites.
• Ability to lift and carry up to 25 pounds independently.
• Must be able to wear required personal protective equipment in designated areas.
• Must be available for occasional travel and evening, weekend, or extended hours when required by project or installation schedules.
