Project Manager
Heaven or Las Vegas is looking for an organized, proactive, and detail-oriented Project Manager to join our team. The Project Manager will oversee custom fabrication, experiential marketing, retail, trade show, branded activation, event, and specialty installation projects from initial concept through completion.
This position serves as a key point of contact between clients, creative teams, fabrication personnel, vendors, installers, and company leadership. The Project Manager will work closely with the Creative Fabrication Specialist to ensure projects are delivered on time, within budget, and according to client expectations.
The ideal candidate is someone who thrives in a fast-paced environment, can manage multiple projects simultaneously, communicates effectively, and is proactive about identifying and solving problems.
What You'll Do
- Manage projects from initial planning through completion, delivery, and/or installation.
- Serve as the primary point of contact for assigned clients throughout the project lifecycle.
- Partner with the Creative Fabrication Specialist on project scope, creative direction, fabrication requirements, schedules, and priorities.
- Review project estimates, drawings, renderings, specifications, purchase orders, and other project documentation.
- Develop and maintain detailed project schedules, milestones, and deadlines.
- Coordinate communication between clients, designers, creative teams, fabricators, vendors, installers, and other stakeholders.
- Monitor project progress and proactively identify scheduling, budget, material, labor, or production issues.
- Coordinate materials, equipment, labor, subcontractors, vendors, shipping, and installation requirements.
- Request and review vendor pricing, quotes, lead times, and availability.
- Track project budgets, purchase orders, invoices, labor, materials, and other project costs.
- Review project costs against approved budgets and communicate potential cost concerns to management.
- Maintain accurate project documentation, including schedules, budgets, estimates, purchase orders, change orders, production notes, and client communications.
- Coordinate client approvals and ensure artwork, drawings, specifications, and other required information are received on time.
- Coordinate with fabrication teams to ensure production aligns with approved specifications and schedules.
- Coordinate shipping, delivery, and installation logistics.
- Communicate installation requirements, site conditions, schedules, and client expectations to installation teams.
- Attend client, production, project, and site meetings as needed.
- Maintain consistent communication with clients regarding project status, timelines, approvals, changes, and outstanding items.
- Assist in resolving client concerns and project issues professionally and efficiently.
- Ensure project deliverables meet approved scope, quality standards, deadlines, and client expectations.
- Manage project closeout activities and ensure outstanding items and final deliverables are completed.
- Participate in post-project reviews and help identify opportunities to improve project management and production efficiency.
