Project Manager (Outdoor Events)

The Project Manager will lead the end-to-end planning and on-site execution of outdoor sporting and live events. This role involves managing budgets, timelines, temporary infrastructure, and coordination between various stakeholders and contractors.

Job Summary

We are seeking an experienced Project Manager with strong end-to-end project management capabilities and proven experience delivering outdoor events.

You will be responsible for managing projects from planning and mobilisation through on-site execution, event operations, dismantling and close-out. The role requires strong coordination, stakeholder management, problem-solving and the ability to manage multiple workstreams in a fast-paced event environment.

Responsibilities

Project Management & Event Delivery

  • Lead the end-to-end planning and delivery of assigned event projects, from initial planning through execution and post-event close-out
  • Develop and manage detailed project plans, timelines, budgets, resource requirements and key deliverables
  • Coordinate multiple project workstreams to ensure milestones, dependencies and deadlines are effectively managed
  • Manage project budgets, procurement, vendor quotations, expenditure and cost control
  • Identify project risks, operational constraints and potential delays, and implement appropriate mitigation measures
  • Manage project changes, competing priorities and on-site issues to keep delivery on schedule
  • Maintain clear project documentation, progress reporting and close-out records
  • Support event-day operations and oversee post-event dismantling and site reinstatement

Site & Outdoor Event Management

  • Manage the planning and on-site delivery of outdoor events, including site mobilisation, installation, event operations and dismantling
  • Coordinate temporary event infrastructure such as structures, grandstands, tents, flooring, fencing, power, lighting, water, air-conditioning, signage, cabins and back-of-house facilities
  • Coordinate site layouts, access requirements, installation sequencing and build schedules
  • Manage contractors, suppliers and technical partners to ensure work is delivered safely, on time and to required standards
  • Conduct site inspections and proactively resolve site, operational and logistical issues
  • Work closely with venue owners/operators, authorities, contractors, suppliers, internal teams and other event stakeholders

Stakeholder & Team Coordination

  • Serve as a key point of coordination across internal teams, clients, vendors, contractors and external stakeholders
  • Lead project meetings, track action items and ensure timely follow-up and resolution
  • Communicate project status, risks and critical issues clearly to management and relevant stakeholders
  • Coordinate project teams and external partners to ensure alignment on responsibilities, timelines and expected outcomes

Requirements

  • Proven project management experience in events, sports events, live events or a related project-based environment
  • Hands-on experience managing and delivering outdoor events is essential
  • Demonstrated ability to manage projects from planning through on-site execution and close-out
  • Strong project planning, budgeting, scheduling, vendor management and stakeholder management skills
  • Experience coordinating contractors, suppliers and multiple project workstreams
  • Comfortable working on-site and managing fast-moving operational issues during event build-up and delivery
  • Strong problem-solving, organisation and communication skills
  • Able to work outside normal office hours, including weekends and public holidays, when required for event delivery
