POSITION SUMMARY

Utah's Promise is seeking an organized, collaborative, and solutions-oriented Project Manager (PM) to lead marketing and communications projects from intake through completion. This role owns the day-to-day management of the marketing and communications project portfolio — translating priorities into clear project plans, managing timelines and deliverables, coordinating cross-functional collaboration, and ensuring stakeholders have the information and support needed to move work forward. The PM will serve as the primary point of coordination for campaign planning, creative production, vendor communication, workflow management, and project reporting. The ideal candidate brings strong judgment, excellent follow-through, comfort managing competing priorities, and a relationship-centered approach to keeping projects aligned, on schedule, and connected to organizational goals.

ESSENTIAL FUNCTIONS

  • Develop and maintain comprehensive project plans for marketing and communications campaigns, including goals, scope, roles, deliverables, timelines, dependencies, approvals, and success measures.
  • Manage incoming project requests, evaluate and recommend priorities in partnership with the VP of Strategic Communications & Marketing and internal stakeholders, and ensure work is accurately captured, assigned, and tracked in Asana.
  • Monitor marketing project progress across the portfolio, identify risks or bottlenecks early, and recommend and implement solutions to keep work moving toward timely completion.
  • Plan, prepare agendas for, and facilitate project kickoffs, planning meetings, status meetings, and post-project debriefs to ensure clarity, alignment, and accountability.
  • Create, maintain, and communicate content calendars, production schedules, deadlines, and approval timelines across campaigns and channels.
  • Build and manage strong working relationships with internal teams, external partners, and vendors, including negotiating timelines and deliverables as needed.
  • Coordinate creative, content, digital, print, and event-related deliverables, ensuring work reflects brand standards, audience needs, and campaign objectives.
  • Develop, document, and improve cross-functional processes, templates, workflows, and communication practices that increase efficiency, transparency, consistency, and results.
  • Communicate project status, decisions, risks, and next steps to stakeholders and leadership in a timely, clear, and audience-appropriate manner.
  • Partner with the Events Marketing Director and Donor Engagement team to manage event-related marketing timelines, deliverables, logistics, and communications needs.
  • Own and maintain the marketing project dashboard and portfolio in Asana, including regular updates, reporting, and visibility into team capacity and project status.
  • Provide regular portfolio updates to the VP of Strategic Communications & Marketing, highlighting accomplishments, upcoming deadlines, risks, decisions needed, and resource considerations.
  • Support other departments with communications and marketing project coordination as needed, while helping maintain alignment with organizational priorities.
  • Perform additional duties and responsibilities as assigned.
