About the role
We're hiring a Sales Project Coordinator to be that connective tissue. You'll sit between our engineering team and our customers' buyers and procurement contacts, keeping quotes, orders, and technical change requests moving cleanly from first RFQ through final delivery. You won't be doing the engineering or closing the sale yourself - you'll be making sure nothing falls through the cracks between the two, and that both sides always know where things stand.
This role suits someone who's organized enough to track a dozen open orders at once, comfortable enough with technical detail to relay drawing specs and tolerances accurately, and personable enough to be the calm, reliable voice for our customer's procurement team and their engineers.
The role reports to the VP of Sales & Marketing, while offering support QQE's Engineering, Operations and Quality teams.
What you'll do
- Act as the primary point of contact between customers' procurement/buying teams and QQE's internal engineering group throughout the quote-to-delivery lifecycle
- Translate customer requirements - drawings, specs, tolerances, revisions - into clear RFQs for engineering to review and quote
- Track open quotes, purchase orders, and order status across our ERP systems, and keep both customers and internal teams current
- Manage project timelines, Gannt charts, part numbers, and specific serial numbers.
- Coordinate engineering change notices (ECNs), and communicate any resulting impact on cost, lead time, or spec to the customer's buyer
- Monitor production schedules and proactively flag lead times, potential delays, or expedite requests before they become surprises
- Support new product introduction (NPI) coordination between customer engineering contacts and QQE's engineering team
- Manage and route quality documentation customers request - certificates of conformance (CoCs), first article inspection reports (FAIRs), non-conformance reports (NCRs), and similar
- Assist the sales team with proposal preparation, pricing coordination, and contract/PO review
- Run regular status touchpoints with key accounts to keep both sides aligned
- Identify and escalate risks to on-time delivery before they affect the customer
- Help to resolve accounting discrepancies between invoices and PO's
- Provide open order report and project updates to customers
What you bring
- 2–5 years of experience in sales support, project coordination, customer service, or account management - ideally within a manufacturing or technical-products environment
- Comfort reading and relaying technical drawings and specifications (prior experience not required, but you should be unintimidated by tolerances and part prints)
- Strong written and verbal communication skills, with the ability to translate cleanly between technical and commercial language
- Experience working in an ERP system
- Excellent organizational skills and the ability to manage multiple concurrent customers and open orders without losing track of details
- A bachelor's degree in business, engineering, supply chain, or a related field, or equivalent professional experience
Nice to have:
- Experience in semiconductor, fiber optic, optics, or precision/quartz manufacturing
- Familiarity with ISO 9001 (or similar) quality systems
- Exposure to manufacturing environment
- Direct customer account management experience
Work environment
This is an on-site role based at QQE's [Beavercreek, Ohio] facility. Visits to the production floor are expected as part of coordinating engineering and quality; standard PPE is provided and required in those areas.
Compensation & benefits
Salary range: [$50,000-$75,000], based on experience.
