Consulting Belgium as our new Project & Team Support Coordinator and play an important role in
supporting our projects, business development activities, and growing Brussels team.
Your new role
As our Project & Team Support Coordinator, you will play a central role in supporting the effective
delivery of our projects and the smooth functioning of Ramboll Management Consulting Belgium.
As part of our Business Development & Support team, you will work closely with project managers and
consulting teams to help ensure that projects are well organised, documentation and processes are in
place, and administrative and financial requirements are followed throughout the project lifecycle.
Your key responsibilities will be:
- Supporting project managers and teams with project coordination and backstopping, including administration, documentation, planning, reporting, and the organisation of project workshops and events.
- Supporting financial and contractual project processes, including budget follow-up, invoicing, documentation, and coordination with relevant internal functions.
- Coordinating project meetings, deliverables, deadlines, and internal processes, helping project teams maintain structure and oversight throughout implementation.
- Supporting the organisation and smooth functioning of the Brussels office and team, including internal meetings, team activities, onboarding, recruitment coordination, and relationships with suppliers and service providers.
- On an ad hoc basis, supporting the team’s tender preparation and business development activities, including document preparation, CV and reference management, compliance checks, research, and coordination of inputs and deadlines.
About you

You will likely bring:
- A relevant academic background and experience in project coordination, project administration, business support, tender support, or a similar role, ideally within consulting or professional services.
- Strong organisational skills, attention to detail, and the ability to manage several priorities, deadlines, and stakeholders effectively.
- Experience supporting projects through administrative, financial, contractual, or reporting processes, or a strong motivation to develop in this area.
- Very good knowledge of Microsoft Office, particularly Word, PowerPoint, Excel, and Outlook, combined with curiosity about and confidence in using AI tools to support efficient, high-quality work.
- Excellent communication skills in English; knowledge of French and/or Dutch is an asset.
- A proactive, service-minded, and solution-oriented approach, with professionalism, integrity, discretion, and a strong sense of responsibility.
- The ability to collaborate across teams while also working independently and taking ownership of tasks from start to completion.
Experience with tender processes, EU-funded projects, or office coordination would be an advantage but
is not required across all areas. We are interested in candidates who bring strong project support
capabilities together with complementary strengths that can contribute to our wider team.
