Job Duties

  • Supervise on-site team members and establish clear specifications for maintenance and management services; continually evaluate service needs and performance.
  • Set and uphold the highest standards of service delivery and performance through consistent oversight and personal follow-up.
  • Maintain professional and productive relationships with the Board of Directors (BOD), unit owners, and vendors to support association operations.
  • Maintain current knowledge of state statutes, regulatory requirements, and each client’s community documents, policies, and procedures.
  • Monitor contracts regularly; evaluate and negotiate contracts effectively while ensuring vendor compliance (COIs, licenses, insured requirements) and maintain updated documentation.
  • Prepare comprehensive management reports outlining administrative updates, financial overview, current property conditions, project progress, and clear recommendations.
  • Lead Board meetings when required, in accordance with Robert’s Rules of Order, ensuring structure, compliance, and professionalism.
  • Respond to phone calls and correspondence in a timely, professional, and customer-focused manner.
  • Maintain complete, accurate, and well-organized property files and records in accordance with departmental systems, ensuring thorough documentation for future reference.
  • Maintain and upload all documents into management support systems accurately and update accordingly.
  • Monitor aging reports, support timely legal action when needed, and maintain accurate updates within the collection module.
  • Organize and maintain accurate records, files, and association office communications in alignment with company standards.
  • Update association communications regularly, including menu boards, newsletters, and association website updates.
  • Develop and deliver professional presentations and supporting materials including reports, action plans, budgets, and bid analyses.
  • Coordinate with headquarters support staff, attend monthly Manager meetings, build cross-department collaboration, prepare for and chair team meetings, motivate staff teamwork, and maintain equipment logs, inventory, and quarterly preventive maintenance manuals.

Qualifications

  • High School Diploma Required
  • Licensed (Community Association Manager) required for consideration. License per Florida Statues 468
  • Two or more years of Community Association Manager (Licensed) experience or related business experience preferred.
  • Proven experience in community management, property management, or related fields.
  • Strong organizational and leadership skills with the ability to multitask effectively.
  • Excellent communication and interpersonal skills to engage with homeowners, board members, and external stakeholders.
  • Proficiency in fiscal management, budget development, and reporting.
  • Advanced Knowledge of HOA regulations, compliance issues, and governance procedures.
  • Ability to manage conflict resolution and maintain professionalism in challenging situations.
  • Proficiency in Microsoft Office Suite and property management software is advantageous.
  • Commitment to upholding ethical standards and promoting a positive community environment.
