Property Manager

An opportunity has arisen to join a successful, well-established family-run property business based in the heart of Brighton.

We are looking for an experienced and proactive Property Manager to oversee a portfolio of residential and commercial properties spanning across Brighton, Hove and Worthing.

This is an excellent opportunity for a proactive, organised individual who enjoys taking ownership of their work and thrives in a varied role. You will have the autonomy to manage your own workload while working closely with the Director to support the day-to-day running and continued development of the business.

Salary : £30,000 fte (£12,000 if working 0.4 fte, £18,000 if working 0.6 fte)

Employment type: Fixed term contract for 6 months with the possibility of extension

Hours:14 - 21 hours per week (9am – 5pm). 2 or 3 days per week (Ideally on a Tuesday, Thursday or Friday). Open to discussion.

Location: Office based in Brighton BN1 – Near Seven Dials. No parking available on site

Reports to: Director

Key Responsibilities

  • Act as the main point of contact for tenants, contractors, agents and other stakeholders, responding promptly to enquiries by telephone and email, coordinating with the director when necessary to ensure items are dealt with and issues are resolved efficiently.
  • Coordinate property maintenance and repairs, ensuring works are completed to a high standard, within agreed timescales and in compliance with relevant legislation.
  • Build and maintain strong relationships with contractors, suppliers and service providers, monitoring performance and ensuring value for money.
  • Manage all aspects of tenancy administration, including renewals, rent reviews, deposits, move-ins and end-of-tenancy processes.
  • Review check-out reports and prepare recommendations for the director regarding dilapidations and deposit deductions.
  • Handle insurance claims and coordinate any associated remedial works.
  • Ensure compliance with all statutory requirements by arranging and monitoring safety inspections, including Gas Safety Certificates, EICRs, EPCs and Fire Risk Assessments.
  • Arrange and carry out property inspections, coordinating access with tenants, landlords and contractors where required.
  • Maintain accurate property records, key registers and databases using the company's property management systems.
  • Liaise with utility companies, local authorities and other external organisations regarding property-related matters and deal with issues without delay.
  • Develop and maintain productive relationships with letting agents to assist with the marketing of properties for sale or rent.
  • Liaise with commercial tenants regarding lease obligations, maintenance issues and general property management.
  • Monitor freehold expenditure and service charges payments and prepare management information for the company accountant.
  • Ensure compliance with GDPR requirements and company data retention policies.
  • Manage company invoices, ensuring invoices are accurately loaded onto Xero and sent for approval by the director.
  • Reconcile rent payments on Xero, raising any nonpayment to the Director.
  • Support the Director with business improvement initiatives, process development and project work as required.

Person Specification

Essential

  • Previous experience managing residential and commercial properties.
  • Strong working knowledge of current property legislation and compliance requirements.
  • Excellent organisational and time management skills, with the ability to prioritise a varied workload.
  • Outstanding written and verbal communication skills.
  • Excellent interpersonal skills with the confidence to liaise professionally with tenants, landlords, contractors and external agencies.
  • Strong problem-solving skills and the ability to make sound decisions.
  • Calm and resilient when dealing with challenging situations, with a positive, solutions-focused approach.
  • High level of accuracy and attention to detail
  • Strong IT skills, including Microsoft Office and property management software.
  • Ability to work independently while also contributing effectively as part of a small team.
  • Comfortable using and suggesting AI tools to improve efficiency and productivity.

Desirable

  • ARLA Propertymark qualification (or willingness to work towards one).
  • Experience using Xero
  • Full UK driving licence.

This role would suit someone who enjoys working independently, is confident making decisions, and can effectively manage competing priorities. As a small, family-run business, there will be occasions when you will be working in the office on your own, so you should be comfortable with lone working and taking ownership of your responsibilities.

This role is to cover a period of sickness absence within the team, although there might be a possibility of an extension or potentially a more permanent role in the future as the company expands.
