The Property Support Specialist serves as a dynamic, portfolio-wide resource who provides coverage and operational continuity across Pillar Properties communities. This role requires a self-starter who thrives in varied environments, adapts quickly, and brings a consistently high standard of service to every interaction. The specialist will rotate between properties of varying sizes, types, and ages, stepping into Concierge, Leasing Specialist, and Resident Engagement Specialist responsibilities as needed. Success in this role depends on the ability to build rapport quickly, represent the Pillar brand with confidence, and operate with minimal direction.

What You'll do

  • Travel as assigned between local properties.
  • Demonstrate a positive, professional attitude with team members, residents, and the public.
  • Provide property coverage as assigned across the portfolio, adapting to the unique operational needs of each community.

  • Assist with onboarding and initial training for operational roles such as, but not limited to: Resident Engagement Specialist, Concierge, Leasing Specialist, and Leasing Manager.
  • Perform regular administrative audits and complete portfolio projects related to policies and procedures.
  • Assist with any company marketing initiatives and technology testing, roll-out, or implementation as applicable.
  • Perform and support day-to-day activities and property operations as assigned.
  • Collaborate with management or senior leadership as needed to resolve resident concerns and complaints.
  • Build rapport quickly with onsite teams, adapting to each property’s culture while maintaining professional consistency.
  • Exercise sound judgment and resourcefulness when navigating unfamiliar situations, taking initiative to resolve issues without waiting for direction.
  • Uphold Pillar Properties service standards and brand consistency at every community, serving as a representative of the company’s Quietly Awesome philosophy.
  • Assist in any administrative or daily operational items onsite, such as maintenance requests, resident deliveries, reviewing and spiffing vacant homes, monitoring, and posting marketing ads, reviewing pricing and specials, and participating in regular calls as required by the team.
  • Assist in administering leases, reviewing resident lease charges, enforcing lease compliance, and performing landlord obligations as directed by the Property Manager.
  • Monitor prospect queue and respond to any prospect requests according to Pillar expectations.
  • Handle traffic, lease homes, qualify prospects, prepare lease documentation, and complete move-in paperwork and procedures.
  • Process resident move-ins and move-outs and audit entry directories as needed to ensure accuracy.
  • Assist and attend resident retention events.
  • Shop competitor properties and collect weekly market survey data.
  • Manage the rental collection process and ensure adherence to all policies regarding financial responsibilities.
  • Review and assist with month end close
  • Serve as the first point of contact for resident inquiries, general conflict management, maintenance requests, reservation questions, or general community needs and ensure that the appropriate team member is looped in to ensure resolution.
  • Manage amenity reservations from confirmation to completion. This includes but is not limited to placing appropriate reservation signage, obtaining a guest list from the host, and reviewing the space before and after the reservation.
  • If applicable, facilitate the use of the building’s guest suites. This includes maintaining reservations, checking in and checking out guests, completing walk throughs, inspecting damage and missing items, and scheduling the cleaning of the suites to ensure that they are stocked and refreshed for the next guest’s check-in.
  • Other duties as assigned

What You Bring

  • High school diploma or general education degree (GED) required; college degree preferred.
  • Two (2) years of leasing or property management experience, or equivalent combination of education and related work experience
  • Valid driver's license
  • Proof of auto insurance
  • Comprehensive knowledge of Microsoft Office 365.
  • Intermediate knowledge of Yardi or other property management software.
  • CRM and RENTCafé Online Leasing experience preferred.
  • BlueMoon – National Apartment Association Lease experience preferred.
  • Ability to learn and utilize new accounting, leasing, and other applicable software, technology, and social media.
  • Ability to effectively communicate in both verbal and written form with residents, team members, and vendors.
  • Ability to support the entire portfolio by providing coverage for vacations, leaves of absence, and open positions.
  • Ability to work a flexible schedule, including weekends and varied hours, with regular and timely attendance.
  • Working knowledge of residential real estate including a general understanding of leasing, marketing, and resident relations.
  • Strong analytical skills with the ability to self-assess for accuracy and identify alternative scenarios.
  • Adaptable with ability to manage multiple priorities and meet deadlines.
  • Ability to exercise judgment and discretion.
  • Ability to work independently.
  • Ability to work in an organized, efficient manner with a high level of accuracy, attention to detail, and follow-through

Compensation

  • $25.00-$28.00
  • Actual pay rate within stated pay range is determined based on relevant factors in compliance with state and local wage laws.
  • This position is eligible for a discretionary annual bonus of 10%.
