Description

Proposal & Marketing Coordinator

Commercial Construction | Full-Time

Salary: $70,000–$85,000 annually, depending on experience, plus potential performance bonus

About the Position

We are looking for a creative, organized, and detail-oriented Proposal & Marketing Coordinator to join our team. This person will play an important role in helping our company win new construction projects while building and maintaining our brand in the commercial construction industry.

The ideal candidate is a strong writer, enjoys working with people, and knows how to turn technical information into clear, professional, and compelling proposals. You'll work closely with company leadership, project managers, and estimators to prepare RFQs, RFPs, and other proposal submissions.

In addition to proposals, you'll help tell our company's story through marketing materials, social media, website updates, and industry events.

This position is approximately 60% proposal coordination and 40% marketing. We're looking for someone who can handle both sides of the role and take ownership of projects from start to finish.

Key Responsibilities

Proposal Development & Coordination
  • Manage the preparation, writing, editing, formatting, and submission of Requests for Qualifications (RFQs), Requests for Proposals (RFPs), and Statements of Qualifications (SOQs).

  • Review proposal requirements, develop submission schedules, and ensure all deadlines and requirements are met.

  • Work closely with company leadership, project managers, and estimators to gather project information and develop strong, accurate proposals.

  • Write and edit project descriptions, company qualifications, team resumes, and other proposal content.

  • Maintain an organized library of project information, employee resumes, certifications, photos, and past proposals.

  • Create professional presentations and supporting materials for client interviews and project pursuits.

  • Ensure all proposal submissions are accurate, consistent, professional, and completed on time.

Marketing & Brand Development
  • Develop marketing materials, including brochures, capability statements, project profiles, newsletters, and presentations.

  • Maintain and update the company website with new projects, photos, and company information.

  • Create and manage content for company social media accounts, primarily LinkedIn and Instagram.

  • Coordinate project photography and video to highlight completed projects, construction progress, and company achievements.

  • Assist with press releases, award submissions, and other public relations opportunities.

  • Help plan and coordinate industry events, trade shows, networking opportunities, and client appreciation events.

  • Work with leadership to identify new ways to promote the company and strengthen its presence in the commercial construction market.

Qualifications

What We're Looking For

  • 2–4 years of experience in proposal coordination, marketing, or a similar role, preferably in commercial construction, architecture, or engineering (A/E/C).

  • Strong writing, editing, and proofreading skills, with the ability to turn technical information into clear, engaging content.

  • Experience preparing RFQs, RFPs, SOQs, or other formal business proposals.

  • Proficiency in Adobe InDesign is required, along with familiarity with Photoshop and Illustrator.

  • Excellent organizational skills and the ability to manage multiple projects with competing deadlines.

  • Strong communication skills and confidence working with executives, project managers, and other team members.

  • A creative eye for layout, design, branding, and professional presentations.

  • Ability to work independently, take initiative, and follow through without constant supervision.

  • Bachelor's degree in Marketing, Communications, Journalism, English, Construction Management, or a related field preferred.

Additional Experience That Would Be a Plus
  • Experience in the commercial construction industry.

  • Familiarity with public and private construction bidding and procurement processes.

  • Experience using Procore, Autodesk Construction Cloud, or similar construction project management software.

  • Knowledge of construction estimating and preconstruction processes.

  • Experience managing company websites and social media accounts.

  • Membership in the Society for Marketing Professional Services (SMPS).

What Makes Someone Successful in This Role?

We're looking for someone who is more than just a good writer or graphic designer.

The right person will be comfortable following up with busy project managers, asking questions, and keeping everyone on track when deadlines are approaching. You'll need to be organized, resourceful, and willing to take ownership of your work.

You'll also have a creative side and enjoy finding ways to showcase the people, projects, and accomplishments that make our company stand out.

Most importantly, you'll be someone who takes pride in producing high-quality work, pays attention to the details, and works well with a team.

Compensation & Benefits

  • $70,000–$85,000 annual base salary, depending on experience

  • Eligibility for a company performance bonus

  • Medical, dental, and vision insurance options

  • 401(k) with immediate company matching contribution

  • Generous paid time off and paid company holidays

  • Professional development opportunities, including industry conferences, SMPS membership, and continuing education

  • Collaborative, team-oriented work environment

  • Opportunity to make a direct impact on the company's growth and success
