Proposal Manager
This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Proposal Manager I based in Brazil.
This role offers the opportunity to lead end-to-end proposal activities for Functional Service Provider (FSP) opportunities within a fast-paced global environment. You will coordinate proposal strategy, content, budgets, timelines, and client responses across multiple functional service lines. Working closely with Business Development, Operations, Finance, and subject-matter experts, you will help transform client requirements into compelling and operationally viable solutions. The position combines commercial awareness, project coordination, analytical thinking, and strong written communication. You will collaborate across business units, geographies, and time zones while managing multiple priorities and deadlines. Your work will directly contribute to client engagement, business growth, and the delivery of high-quality proposals in the life sciences sector.
Accountabilities:
- Lead the end-to-end proposal process for assigned low- to medium-complexity opportunities, including proposal text, budgets, quotations, RFIs, and RFP responses.
- Review RFI and RFP documentation, identify requirements and information gaps, and coordinate with relevant stakeholders to obtain the necessary inputs.
- Establish proposal timelines, coordinate deliverables, monitor progress, and ensure accurate and timely submissions against client deadlines.
- Work cross-functionally with Business Development, Operations, Finance, subject-matter experts, and other teams to develop competitive, commercially attractive, and operationally feasible solutions.
- Support integrated opportunities spanning multiple business units and coordinate activities across global teams and time zones.
- Organize and facilitate strategic and operational meetings, including internal planning sessions and client-facing discussions where required.
- Coordinate with third-party vendors and vendor managers to obtain quotations, capabilities, and supporting information.
- Prepare, edit, and quality-check proposal documents in line with client requirements, agreed strategies, internal processes, and quality standards.
- Support internal and external negotiations related to pricing, resources, processes, timelines, and solution design.
- Identify proposal risks, resolve challenges where possible, and escalate complex issues appropriately to management.
- Support client-facing and senior-management activities, including meeting preparation, presentations, discussions, and follow-up actions.
- Maintain accurate information in relevant departmental and corporate systems and databases.
- Contribute to process improvement initiatives designed to increase proposal efficiency, quality, and consistency.
- Maintain and enhance proposal content libraries by submitting new material and updating existing content through established processes.
- Support client relationship initiatives, sales-focused visits, and other business development activities as needed.
- Coordinate onboarding activities for new team members in collaboration with management.
- Maintain current knowledge of relevant technical, regulatory, and industry environments and apply this knowledge to proposal development.
- Bachelor’s degree in a relevant field or equivalent professional experience.
- At least 4 years of experience in proposal development, budget development, or a comparable combination of education and experience, ideally within CRO, pharmaceutical, biotechnology, healthcare, or life sciences environments.
- Strong experience preparing, editing, and coordinating complex business documents, proposals, budgets, and client responses.
- Excellent proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Familiarity with proposal management or automation platforms such as Salesforce, Qvidian, or similar tools is advantageous.
- Strong written and verbal communication skills, with the ability to adapt messaging for clients, senior leaders, and internal stakeholders.
- Excellent planning, organizational, analytical, and multitasking capabilities, with a proven ability to manage competing priorities.
- Strong attention to detail and quality-control mindset, combined with persistence, professionalism, and sound judgment.
- Ability to work independently while collaborating effectively within a matrix organization and across multiple business units.
- Demonstrated ability to work under pressure, meet demanding deadlines, and respond positively to changing requirements.
- Customer-focused approach with strong interpersonal skills and a proactive, solutions-oriented mindset.
- Ability and willingness to work across different time zones and, when necessary, outside standard working hours to meet proposal deadlines.
